Hotel Accounting Manager

Responsible for overseeing the financial and accounting functions of Wagner Hospitality Management’s hotel and hospitality operations. Lead the day-to-day accounting function for the hotel portfolio, ensuring timely, accurate, and complete financial reporting across all properties. Supervise accounting workflows, coordinate with property-level teams, and serve as the primary accounting contact for ownership, management, external accountants, auditors, lenders, and vendors. Prepare and review financial reports using hospitality accounting practices and, where applicable, USALI-style departmental reporting for rooms, food and beverage, undistributed operating expenses, fixed charges, and ownership-level reporting. Prepare ownership and lender reporting packages, including monthly financial summaries, cash flow updates, variance explanations, debt service tracking, reserve reporting, capital expenditure tracking, and other asset management reporting as needed. Responsibilities include: Review daily revenue reports, night audit postings, occupancy, ADR, RevPAR, tax postings, paid-outs, adjustments, rebates, refunds, and house accounts. Reconcile PMS, POS, OTA, credit card processor, bank deposits, and general ledger activity. Monitor room revenue, F&B revenue, spa/ancillary revenue, deposits, advance payments, no-show revenue, cancellation fees, and comp rooms. Preparing monthly, quarterly, and annual financial statements, including balance sheets, income statements, and cash flow reports Track capital projects, FF&E purchases, repair and maintenance expenses, reserve accounts, project invoices, deposits, retainage, and budget-to-actual reporting. Coordinate with ownership and operations to classify expenses properly between operating expense and capital expenditure. Managing accounts payable and accounts receivable, including vendor payments, guest billing, and collection processes Handling chargebacks, disputes, and credit card reconciliation processes across multiple hotel properties Reconciling bank accounts, credit card transactions, and general ledger accounts to ensure accuracy and completeness Recording, categorizing, and maintaining accurate financial records of all transactions, including income, expenses, assets, and liabilities using accounting software Monitoring daily, monthly, and seasonal revenues and expenses to identify trends and variances Processing payroll-related reporting and assisting with payroll reconciliation and compliance Assisting with month-end and year-end close processes, including accruals, journal entries, and account analysis Supporting budgeting and forecasting processes, including variance analysis and financial performance reporting Assisting with cash flow management, ensuring operational liquidity across hospitality properties Reconcile tax liabilities to PMS/POS reports and general ledger balances. Support compliance with occupancy tax, sales tax, meals tax, payroll tax, 1099 reporting, business licenses, and local filing requirements. Prepare tax documentation for filings and coordination with external accountants or auditors Assisting with internal and external audits by providing required financial documentation and explanations Conducting financial analysis to identify trends, cost‑saving opportunities, and revenue enhancement strategies Supporting risk management by identifying financial discrepancies, exposure points, and operational inefficiencies Maintaining organized financial systems and documentation for audit readiness and operational transparency Collaborating with property managers and corporate leadership to ensure accurate reporting, budget adherence, and operational efficiency across the hospitality portfolio Maintain internal controls over cash handling, credit card processing, refunds, voids, paid‑outs, petty cash, vendor setup, invoice approvals, and expense reimbursements. Review unusual adjustments, refunds, rate overrides, manual postings, and write‑offs. Ensure segregation of duties where practical across property and corporate accounting functions. Maintain vendor records, W‑9s, certificates of insurance, recurring contracts, payment terms, and aging schedules. Track major recurring obligations such as utilities, insurance, property taxes, franchise/brand fees, licenses, leases, and service contracts. Additional Functions: Respond to owner’s inquiries swiftly. Works closely with management to support strategic decision‑making through financial insights, reporting, and analysis. Ensures accurate tracking of chargebacks, refunds, and guest dispute resolution in coordination with hotel management, front desk and revenue teams.
