ADMINISTRATIVE SPECIALIST II

GRADE 11 LOCATION OF POSITION MDH, Developmental Disabilities Administration, 201 W. Preston Street, Baltimore, MD MAIN PURPOSE OF JOB This position is responsible for initiating, planning, designing, and executing additional special projects related to DDA priorities and initiatives. It composes and prepares routine correspondence with attention to detail and professionalism, answers incoming calls, greets visitors, and coordinates appointments and interviews to support efficient office operations. It manages receipt, sorting, review, and distribution of incoming mail and communication, creates and maintains specialized forms and summary reports by gathering and analyzing information from multiple sources to ensure accuracy and completeness, and enters, updates, verifies, and retrieves data using database and spreadsheet applications to keep information current and well‑organized. Additionally, it may provide technical advice and guidance for various stakeholders and internal staff. MINIMUM QUALIFICATIONS Education: Graduation from an accredited high school or possession of a high‑school equivalency certificate. Experience: One year of experience performing administrative staff, clerical, clerical technical, or secretarial work. Notes: Candidates may substitute 30 credit hours from an accredited college or university for the required experience. Candidates may substitute U.S. Armed Forces military service experience as a non‑commissioned officer involving staff work requiring regular use of independent judgment and analysis in applying and interpreting rules and regulations in accordance with agency laws and policies on a year‑for‑year basis for the required experience. DESIRED OR PREFERRED QUALIFICATIONS Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Workspace, and database software (e.g., Smartsheets). Experience managing calendars, booking travel, taking meeting minutes, and maintaining office records. Experience communicating clearly with staff and the public, plus customer service or client relations experience. Proven ability to handle confidential information, multitask, and pay attention to detail. Experience in scheduling, office management, and supporting executives. SPECIAL REQUIREMENTS Candidates may be responsible for providing their own transportation as needed to access meetings, remote locations, and job destinations as assigned.
