Accounts Payable Specialist

Position Title: Accounts Payable Specialist Department: Accounting Reports To: Accounting Manager FLSA Status: Non-Exempt Location: Kearney Mesa, California Pay Range: $30.00 - $35.00 per hour Position Summary The Accounts Payable Specialist is responsible for managing the full accounts payable cycle, ensuring invoices are processed accurately, timely, and in accordance with established accounting procedures. This role supports the Accounting Departments monthly close process and works closely with internal stakeholders and external vendors to resolve discrepancies and maintain strong vendor relationships. Essential Duties and Responsibilities The following duties are representative of the role but are not all-inclusive. Employees are expected to perform other related duties as assigned to support departmental operations. Process accounts payable invoices with accuracy and timeliness, ensuring proper coding and required approvalsResolve discrepancies related to invoices, purchase orders, pricing, and paymentsEstablish and maintain effective working relationships with new and existing vendorsEnsure invoices are paid in accordance with payment terms and internal proceduresProcess due invoices for payment and monitor aging reportsReview monthly vendor statements, identify outstanding invoices, and request missing documentation as neededCompare purchase orders, pricing, terms, and additional charges for accuracyMonitor the Accounting department email inbox and route invoices appropriatelyProvide payroll processing support as a backup to the Accounting ManagerAssist the Accounting team with tasks necessary to support an accurate and timely month-end close Qualifications Education and Experience Bachelors degree in Accounting, Finance, or a related field, or an equivalent combination of education and experienceMinimum of one (1) year of experience working in an accounting department with hands-on accounts payable responsibilities Knowledge, Skills, and Abilities Strong organizational skills with a high level of attention to detailAbility to manage multiple priorities and meet deadlines in a fast-paced environmentProfessional demeanor when handling sensitive and confidential informationEffective written and verbal communication skillsAbility to communicate and collaborate across all levels of the organizationStrong time-management and workload-prioritization skillsProficiency with Microsoft Office Suite and accounting softwareDemonstrated ability to maintain confidentiality and exercise sound judgment Physical Requirements The physical demands described below are representative of those required to successfully perform the essential functions of this position.
