Accounts Payable & ReceptionistThe Accounts Payable & Receptionist position supports operational efficiency and company profitability by accurately and timely processing vendor invoices and payments, while maximizing available vendor cash discounts in accordance with company policy. This role maintains vendor accounts, resolves invoice discrepancies, and performs reconciliation activities. In addition, the position serves as the receptionist for the Norfolk Branch, providing professional front-desk and administrative support.Accounts Payable ResponsibilitiesProcess and pay vendor invoices accurately and on timeMaximize vendor cash discounts consistent with company policyMatch invoices with purchase orders and receiving documents; verify vendor information, quantities, payment terms, and costs; enter transactions into the accounts payable systemMaintain vendor accounts and ensure accuracyReview accounts payable entries for errors and make corrections as neededResolve invoice discrepancies in a timely mannerBalance vendor statements to accounts payable and resolve discrepanciesReview vendor credit balances and coordinate returns or credits to the companyReconcile company credit cards monthlyComplete daily bank activity and perform end-of-month bank reconciliationsMaintain proficiency in computerized accounting systems and related technologiesFollow all company policies and proceduresProvide backup support for check depositsPerform other duties as assigned, including miscellaneous and sporadic tasksAdministrative & Office Support ResponsibilitiesOrder office and parts supplies, including Amazon purchasesBook hotels for team members as neededCoordinate and book events for the sales teamReceptionist ResponsibilitiesAnswer and respond to incoming calls on the general phone line in a courteous and professional mannerGreet and assist all guests at the front deskServe as the point of contact for phone extension creation and changesOrganize and distribute incoming and outgoing mail and faxesExperience & Skills RequirementsHigh school diploma or equivalent1+ year of experience in a professional environmentWorking knowledge of basic accounting principlesStrong accuracy and attention to detailDemonstrated integrity and ethical standardsSuperior organizational skills and time management abilitiesAbility to work independently with minimal supervisionEffective listening, communication, and phone skillsAbility to follow written instructions and documented proceduresStrong problem-solving and analytical skillsAbility to perform basic business math (e.g., basic algebra, rates, ratios)Ability to adapt quickly to changing prioritiesProven ability to handle difficult customers with diplomacy and tact
