Onboarding Specialist

Job Summary The Onboarding Specialist serves as a critical link between Recruiting, Operations, Payroll, Clients, and Field Employees, ensuring a seamless transition from candidate acceptance to successful deployment. This role is responsible for managing all aspects of the onboarding process, including coordinating client-specific requirements, facilitating pre-employment screenings, collecting and verifying employment documentation, completing employment eligibility verification, and ensuring compliance with company, client, and regulatory standards. Essential Duties and Responsibilities Collaborate with candidates and client HR teams to coordinate, schedule, and facilitate client-specific onboarding requirements and training. Ensure candidates receive the necessary information and resources for successful completion of the onboarding process. Guide and facilitate candidates through the onboarding process, ensuring they complete required steps based on the client requirements and the project location. Address any questions or concerns candidates may have during the onboarding journey. Act as a point of contact between our recruiters, candidates, and clients to ensure all necessary documentation is collected and reviewed for accuracy. Communicate effectively with all stakeholders to provide updates on the onboarding progress. Initiate and manage the process of conducting background checks and drug screenings for candidates, ensuring compliance with all relevant regulations and client requirements. Complete the e-verification process for candidates as per legal and industry standards. Accurately enter and maintain candidate information in our internal applicant tracking system. Coordinate and schedule new hire onboarding training sessions for our clients, ensuring smooth delivery and client satisfaction. Conduct regular audits to ensure data integrity and completeness. Collaborate with the Operations Coordinator and Payroll Team to obtain and verify hours and timesheets from field employees as needed. Assist in resolving any discrepancies related to payroll and onboarding records. Provide general administrative support to front and back office as needed. All other duties as assigned. Job Requirements Bachelor's degree or equivalent practical experience preferred in HR, Communications, etc. Previous experience in project coordination, onboarding, or HR administration preferred Strong organizational skills with the ability to manage multiple tasks efficiently required Excellent communication skills, both written and verbal, to interact with candidates, clients, and internal team members. Detail-oriented with a focus on accuracy and compliance. Familiarity with applicant tracking systems and HR software is a plus. Experience with Avionte a plus. Ability to work collaboratively in a fast-paced and dynamic environment. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant tools Physical Demands/Working Environment Required to sit, stand, walk; talk and hear; see; and ability to touch and handle tools and/or controls, including a computer and phone.
