Position Summary We are seeking a hands-on, strategic Accounting & HR Manager to oversee financial operations and human resources functions for Viking Pallet, Gopher State Pallets, and MSP Pallet Recycling. This critical role balances executive strategy with daily execution. Reporting directly to ownership, you will sit on the company leadership team, drive multi-entity budgeting and financial reporting, manage two direct reports, maintain HR and payroll compliance, and actively perform some core day-to-day billing and payables tasks. Core Responsibilities Executive Leadership & Financial Strategy Sit on the company leadership team, providing financial insights, cash flow analysis, and operational forecasting across all three entities. Prepare, analyze, and present consolidated monthly, quarterly, and annual financial statements. Lead annual budgeting processes and ongoing variance analysis against key operational metrics. Manage month-end and year-end close processes, adjusting entries, and bank reconciliations across multi-entity QuickBooks environments. Act as primary liaison for external CPAs, tax preparers, banking partners, and insurance auditors. Human Resources & Payroll Administration Oversee full-cycle bi-weekly payroll processing for all entities, ensuring accurate timekeeping, commission, and wage calculations. Manage workforce onboarding, offboarding, new-hire orientations, and maintenance of confidential personnel records. Administer employee benefit plans (Health, Dental, Retirement/401k), leading annual open enrollment and vendor coordination. Maintain company HR compliance, worker classifications, employee handbooks, and workplace safety documentation (including OSHA and WorkComp audit reporting). Serve as the primary point of contact for employee relations, benefit inquiries, and leave management. Day-to-Day Transactional Accounting Perform and oversee daily accounts receivable (AR) and billing functions, ensuring precise client invoicing and proactive collections. Execute accounts payable (AP) workflows, including vendor invoice processing, purchase order matching, and weekly disbursement runs. Monitor multi-facility cash balances and manage daily working capital. Team Management & Supervision Supervise, mentor, and evaluate 2 direct reports supporting general administrative, billing, and accounting/HR operations. Establish clear KPIs, daily workflows, and cross-training coverage for the administrative team. Qualifications & Requirements Experience: 5+ years of progressive experience in accounting and office/HR management, ideally in manufacturing, industrial logistics, or multi-entity commercial environments. Team Leadership: Experience working with onsite and remote work-force, including offshore resources. Education: Degree in Accounting, Finance, Human Resources, or Business Administration (or equivalent hands‑on leadership experience). Software Proficiency: Advanced knowledge of QuickBooks Enterprise (multi-entity management), modern payroll software/platforms and Microsoft Office 365. HR & Legal Knowledge: Some working knowledge of federal and Minnesota employment laws, payroll compliance, and benefits administration. Work Style: High level of discretion, strong interpersonal skills, and comfortable balancing leadership strategy with direct, daily execution.
