Summary Executive Assistant - Full-Time, In-Office Hannah Reno Real Estate at Keller Williams is seeking a highly organized, detail-oriented Executive Assistant to support operations, agent services, marketing coordination, client communication, scheduling, and administrative functions. The ideal candidate is proactive, professional, tech-savvy, and able to manage multiple priorities in a fast-paced environment while maintaining exceptional customer service. Requirements:
- Active Montana Real Estate License required at time of hire
- Strong organizational and communication skills
- Ability to work independently and maintain confidentiality
- Proficiency with Microsoft Office, Google Workspace, and real estate technology platforms preferred
- Full-Time
- Monday-Friday
- In-Office Position
- Hybrid or remote work is not available
- Competitive compensation based on experience
- Manage executive calendars, appointments, meetings, and travel arrangements.
- Coordinate brokerage events, training sessions, and client appreciation events.
- Assist with real estate transaction management and compliance tracking.
- Prepare, review, and maintain contracts, disclosures, and broker documents.
- Serve as a point of contact for agents, clients, vendors, and business partners.
- Manage incoming calls, emails, and office communications.
- Create and coordinate marketing materials, social media content, and email campaigns.
- Maintain agent files and ensure compliance with brokerage and state regulations.
- Track projects, deadlines, and follow-up tasks to ensure timely completion.
- Coordinate vendor relationships and office service providers.
- Prepare reports, spreadsheets, presentations, and meeting materials.
- Maintain office organization, supplies, and daily operations.
- Assist with recruiting efforts, career nights, and brokerage growth initiatives.
- Handle confidential information with professionalism and discretion.
- Provide exceptional customer service to clients, agents, and visitors.
- Support the Operating Principal and leadership team with special projects and strategic initiatives as assigned.
