Job Description

ProSidian Seeks a Business Support Analyst - Virtual Assistant (Part-Time | Contract Contingent). The Business Support Analyst - Virtual Assistant provides Business Support for the firm's daily business activities.

The Business Support Analyst - Virtual Assistant requires professionalism and technical capabilities to serve as a responsible and resourceful virtual assistant for our team. Working remotely, the Business Support Analyst - Virtual Assistant will organize and update files, create marketing materials, support business development, assist with operations and related activities, draft/formal policies and guidelines, perform research, assist in creating presentations and sales materials, etc.

The ideal candidate should be tech-savvy, able to communicate through multiple channels, and super organized. The Virtual Assistant may also support the arrangement of travel itineraries, flights, and rooms, as well as the tracking and management of expenses and payments.

While every employer is different, and each will have unique qualifications for a Virtual Assistant position, all activities required for success include tactics to support and enhance the organization's success. These activities require a depth of technical and strategic thought and actions, accuracy, attention to detail, and consistency in deliverables. This is a blended position requiring MS Word, Excel, PowerPoint, Outlook/email, and MS Access skills, with both marketing and administrative acumen.

As a Business Support Analyst - Virtual Assistant, your tasks will vary based on client and Firm needs and your skills, including performing general executive assistant duties; formatting and typing documents; making travel arrangements; managing calendars; arranging meetings and appointments; performing research and setting up opportunity pipelines; updating social media; writing articles and content.

NOTE: Internet research, generating simple reports in Excel, occasional PowerPoint presentations, and various other administrative tasks as needed. Experience in MS Office, Google Apps, and Outlook is a must. Marketing responsibilities would include setting up and sending client newsletters, updating and publishing blog posts, and creating and monitoring social media accounts. Basic WordPress experience is a must. Experience in LinkedIn, Facebook, Twitter, Hootsuite, and Instagram. Experience in Mailchimp or Constant Contact is also preferred, but not required.

You will be relied upon to keep the business organized and to be proactive. The Business Support Analyst - Virtual Assistant must be quick on their feet and an excellent problem solver. They must know how to take the initiative to get things done to meet deadlines. For Business Support Analyst - Virtual Assistant Duties/Support/Service Requirements, we expect the MOST from our Engagement Teams and Collaborating Partners:

  • Arrange Payments For Vendors, Travel, And Sales Expenses
  • Assist With Tasks Related To Proposal Development While Providing General Administrative Support.

  • Manage Filing Systems, Update Records, And Organize Documentation
  • Administrative Tasks, Data Entry, Expense Reports, And Schedule Appointments On An Ongoing Basis
  • Perform Market Research and other Office Administrator Tasks
  • Performing Office Duties That Include Ordering Supplies And Managing A Records Database.
  • Prospecting (Procurement Forecast And Other) And Prospecting Follow-Up
  • Reach Out To Potential And Current Partners To Schedule Collaborative Sessions Related To Ongoing Business Pursuits
  • Researching And Conducting Data To Prepare Internal- And External-Facing Documents And Deliverables
  • Procurement Forecast Research, Analysis, Identification, Selection, And Outreach For Opportunities Aligned With ProSidian Solution Offerings
  • Pipeline Sheet Updates, Research, Analysis, And Outreach For Opportunities Aligned With ProSidian Solution Offerings

Qualifications

The Business Support Analyst - Virtual Assistant - Shall have consecutive employment in a position with comparable responsibilities within the past five (5) years, Must be able to use a computer to communicate via email; and proficient in Microsoft Office Products (Word/Excel/PowerPoint) and related tools and technology required for the position. Work products shall be thorough, accurate, appropriately documented, and comply with established criteria.

REQUIREMENTS AND QUALIFICATIONS OF THE PROSIDIAN BUSINESS SUPPORT ANALYST - VIRTUAL ASSISTANT:

  • Able to organize and manage large amounts of files, tasks, schedules, and information
  • Able to work nights, weekends, extended hours, and holidays as needed
  • Computer with internet access and a Quiet work area away from distractions
  • Excellent phone, email, and instant messaging communication skills
  • Excellent, effective, and efficient time management skills, organizational skills
  • Experience with Google Docs, cloud services, and other technology tools
  • Highly organized and able to multitask and work well with fast-paced directions and instructions
  • Knowledge of online calendars and scheduling (e.g., Google Calendar)
  • Must be able to work independently and get the job done with the ability to read, understand, and follow oral and written instructions.
