Business Development Coordinator - Special Projects+

General Description: The Business Development Coordinator primarily supports and enables the Corporate, M&A and Securities (CMAS) Section’s Business Development team, including the team’s operations, efficiency, and data infrastructure. This is an early- to mid-level marketing and business development role responsible for supporting defined projects and initiatives with increasing autonomy. The Coordinator takes ownership of work streams, helps maintain and improve the processes and systems that support the Business Development team, and engages with attorneys as needed to gather information and enable business development workflows. In addition to core business development coordinator responsibilities, roughly half of the role will focus on AI enablement, data operations, and process automation. The ideal candidate brings curiosity and an aptitude for leveraging AI-enabled tools and workflow automation to drive efficiency across all aspects of the role. This role bridges execution and strategy with a technology-forward orientation; deep business development or legal domain knowledge is not required on day one, but the candidate should be able to press go on AI projects and learn business development through the lens of operational efficiency. Key Responsibilities and Essential Job Functions: Project Management: Support marketing and business development projects from planning through implementation, including assisting with project plans, coordinating stakeholders, tracking milestones, and helping ensure timely completion. Event Management: Help coordinate and manage practice-specific events, webinars, sponsorships, client dinners, and receptions, including planning,logistics, vendor management, attendee communications, day-of execution, and post-event follow-up and reporting. Pitch & Proposal Development: Assist with developing and preparing customized pitch materials, presentations, and RFP responses in collaboration with attorneys and the Business Development team, ensuring materials are compelling,accurate, and tailored to the audience. Directory & Awards Management: Coordinate directory, award, and ranking submissions (e.g., Chambers, Legal 500, Law360, Business Journals) by working with attorneys and Managers to draft narratives, collect supporting information, and manage submission timelines. Research & Analysis: Conduct basic research on industries, prospective clients, firm experience, and competitors,collaboratingwiththe firm’s Competitive Intelligence Teamasappropriate,synthesizing findings into actionable summaries and recommendations for the Business Development team. Collateral & Content Maintenance: Update andmaintainthe firm's practice development information, including marketing collateral, brochures, biographies, practice group descriptions, deal/caselistsand website content, ensuring materials are current,accurateand consistent. Attorney Engagement: Supportproductive working relationships with attorneys in assigned practice areas, primarily to gather information, validate data, and ensure BD systems reflect current activity, serving as a reliable point of contact for the BD team’s data and operational needs. Communications: Assistwith drafting and coordinating internal and external communications, including press releases, social media posts, newsletters and announcements related to practice achievements and events. Data Management: Maintainand update experience databases, deal tracking systems, mailinglists and other data repositories to support business development efforts. Referral Tracking & Reporting: Manage the tracking and documentation of referrals, ensuringaccuraterecords,timelyfollow-upand periodic reporting on outcomes. Expected to maintain a regular and predictable work schedule and full attention to and engagement in work activities on behalf of the firm during business hours unless otherwise approved or required by applicable law. Special projects and duties as assigned. Required Skills: Exceptional written and verbal communication skills, with the ability to interact professionally and build rapport with attorneys,clientsand colleagues at all levels. Strong project management skills, including the ability to manage multiple concurrent initiatives,anticipateobstaclesand drive projects to completion. Advancedproficiencyin Microsoft Office Suite or Microsoft 365, including Excel,Wordand PowerPoint. Demonstrated curiosity about emerging technology and its application to business processes is highly valued. Demonstrated ability to work independently, exercise sound judgmentand manage time effectively with moderate supervision. Ability to perform effectively in a fast-paced, service-oriented environment while balancing competing priorities and stakeholder demands. Growing knowledge of legal industry marketing practices, including directories,rankingsand legal media. High level of professionalism,discretionand judgment when handling confidential information. Flexibility and adaptability in responding to shifting priorities and evolving business needs. Proficient in Microsoft Office Suite, or Microsoft 365. Required Qualifications & Education: Bachelor's degree 3–5 years of relevant experience in marketing, business development, data analytics, AI/technology implementation, communications, or professional services Preferred Qualifications & Education: Law firm experience preferred Experience developing, implementing, or improving workflows using AI or automation tools. Familiarity with data analytics, reporting dashboards, CRM/experience management platforms, and legal marketing tools (e.g., Foundation, league tables, InterAction, QorusDocs, etc.). Experience with deal tracking, pipeline reporting, or transaction-related data management is highly valued. Physical Requirements: Ability to sit or stand for extended periods of time. Moderate or advanced keyboard usage. This position may be filled in multiple locations. In accordance with applicable Pay Transparency Laws, the pay range(s) for this position are listed below. These ranges may not be applicable to other locations. An individual's actual compensation will depend on the individual's qualifications and experience. In addition to the base compensation, Holland & Knight provides bonus opportunities and an exceptional benefits package.
