Job Summary
The HR Operations & Employee Relations Specialist supports the Human Resources department by leading day-to-day employee relations activities and ensuring efficient, compliant HR operations. This position serves as a trusted resource for managers and employees by providing guidance on company policies, performance management, corrective action, and routine workplace concerns while maintaining the operational processes that support the employee lifecycle.
Working collaboratively with the HR Business Partners, this role independently manages routine employee relations matters and HR operations while escalating complex, high-risk, or sensitive issues as appropriate. The ideal candidate is fluent in both English and Spanish, is organized, collaborative, possesses strong judgment, exceptional attention to detail, and a passion for creating consistent and effective HR practices across a multi-state organization. This position reports directly to the HR Business Partner.
Key Responsibilities
Core responsibilities for the position are as follows:
- Serve as the primary HR resource for routine employee relations matters, providing guidance to managers and employees on company policies and procedures.
- Coach managers through common workplace behavior issues such as attendance, performance, conduct, timekeeping practices, etc. and promoting consistent application of company policies.
- Prepare, review, and ensure appropriate retention of corrective action documentation, including coaching documentation, written warnings, final warnings, and Performance Improvement Plans (PIPs).
- Conduct routine workplace investigations related to policy violations, employee concerns, and workplace conflicts, documenting findings and recommendations.
- Partners with HR Business Partners on complex employee relations matters, escalating issues involving discrimination, harassment, retaliation, and/or significant legal risk.
- Support managers through employee separations by preparing required documentation and coordinating with HR Business Partners as needed.
- Monitor employee relations trends and recommend process improvements via manager resources, and training opportunities.
- Maintain accurate employee records and ensure compliance with all federal, state, and municipal laws and company recordkeeping requirements.
- Assist with policy development, communication and implementation.
- Support annual HR initiatives including performance reviews, employee engagement surveys, compliance initiatives, and other department projects.
- Prepare HR reports, dashboards, and metrics related to turnover, corrective actions, investigations, compliance, and other key performance indicators.
- Identify opportunities to improve HR processes, documentation, workflows, and operational efficiencies through standardization and continuous improvement.
- Coordinate the collection and organization of employee records and documentation for legal requests, agency inquiries, audits, and other employment-related matters.
- Build and utilize collaborative working relationships with HR Business Partners, Talent Management, Payroll, Safety, and business leaders to ensure consistent HR practices across all locations.
- Provide responsive, professional customer service while maintaining confidentiality and exercising sound judgment.
- Assist with special projects and perform other duties as assigned.
Experience/Requirements
The position of this role requires the following:
- 3–5 years of progressively responsible Human Resources experience with demonstrated skills in employee relations, performance management, and HR compliance
- Bi-lingual fluency in English and Spanish
- Deep understanding of California labor law.
- Experience conducting workplace investigations required.
- Proficiency with HRIS systems and Microsoft Office applications required.
- Strong knowledge of employment laws and HR best practices.
- Excellent written communication and documentation skills.
- Strong interpersonal, coaching, and conflict resolution skills.
- Ability to maintain confidentiality and exercise sound judgment.
- Exceptional organizational skills with the ability to manage multiple priorities.
- Strong analytical and problem-solving abilities.
- Ability to work independently while collaborating effectively with HR team members and business leaders.
- Commitment to delivering excellent internal customer service and building trusted working relationships.
Preferred Experience:
- Bachelor’s degree in Human Resources, Business Administration, or a related field.
- Experience supporting a multi-state employer.
- SHRM-CP, PHR, or a comparable professional certification (s).
- Experience using Sage (Criterion) HCM or comparable human resources management software.
Safety Requirements
- Regulatory Requirements: Adhere to all local, state, and federal safety regulations, including OSHA and EPA standards.
- Personal Protective Equipment (PPE): Required PPE may include gloves, masks, goggles, hard hats, and safety footwear. All employees must wear PPE as required for their specific roles and job site conditions.
- Ergonomic Practices: Practice ergonomic principles to prevent musculoskeletal disorders. This includes proper desk setup, using adjustable chairs, and maintaining good posture while seated.
- Office Safety Protocols: Adhere to established office safety protocols to maintain a secure work environment. This includes the following guidelines for the proper use of office equipment and ensuring that workspaces are free from clutter to prevent trips and falls.
- Safety Training: Complete all mandatory safety training sessions, including but not limited to hazard communication, emergency response, and safe equipment handling.
- Reporting Safety Concerns: Ability to identify and immediately report any unsafe conditions, hazards, incidents or injuries to supervisors without fear of retaliation.
- Emergency Procedures: Familiarize yourself with emergency procedures relevant to your specific job site, including evacuation routes, and emergency contacts.
Physical Requirements
General Physical Abilities:
- Lifting and Carrying: Ability to lift and carry materials or equipment weighing up to 25 lbs. regularly and up to 50 lbs. with assistance.
- Physical Activities: Ability to perform tasks that require, walking, bending, reaching, crouching, kneeling, climb, squat, crawl, lift above shoulder, reach, and twist.
- Sitting and Standing: Prolonged sitting or standing required (in office, driving and/or at job sites). Regular alternating between sitting and standing
- Repetitive Motions: Continuous repetitive motion and tasks involving L/R hand movement (computer/mouse), wrists, or arms (e.g., typing, data entry).
- Machinery Operation: Capacity to operate machinery and tools as required by job tasks, which may involve fine motor skills and hand-eye coordination.
- Visual Ability : requirement for clear vision (e.g., close work, computer use, eye coordination)
Working Conditions
Office Environment:
- Indoor office setting for corporate roles, including working with standard office equipment (computers, phones, printers). May involve regular meetings, (in person or zoom) and collaboration with team members.
Field Environment:
- Outdoor fieldwork at restoration sites, which may include residential, commercial, or industrial properties. Duties may involve exposure to different weather conditions (sun, rain, snow, heat).
Hazardous Environments:
- Potential exposure to hazardous materials, chemicals, or contaminants specific to restoration work, requiring strict adherence to safety protocols and use of PPE.
- Work after hours and weekends given our 24/7 business operations
Travel Requirements:
- Requires travel to and from branch locations using a company-provided or personal vehicle. Employees using a personal vehicle may be eligible for a vehicle allowance.
- May require occasional overnight travel to attend training sessions, conferences, or other business-related events.
- Requires travel to the corporate office for regularly scheduled business meetings.
