Operations Coordinator

About the Role

We’re looking for an Operations Coordinator to play a key role in keeping our loan pipeline and internal operations running smoothly. This position sits at the intersection of loan operations, pipeline management, and general business operations. This is an in-person position.

You’ll work closely with loan officers, borrowers, vendors, and leadership to ensure deals move forward efficiently, while also supporting back-office functions like payroll coordination and operational organization. This is a high-impact role with a clear growth path as the company scales.

Key Responsibilities

Loan & Pipeline Operations

• Serve as a primary point of contact for borrowers regarding outstanding documents and next steps for loans in process
• Track and manage loan pipeline statuses from application through closing
• Follow up consistently with borrowers, loan officers, and third parties to keep files moving
• Assist with coordinating closings, conditions, and final documentation
• Ensure files are organized, complete, and updated in internal systems/CRM

Operational Support

• Assist with payroll preparation and coordination (data collection, verification, reporting)
• Support general business operations, internal processes, and administrative workflows
• Help improve systems, processes, and operational efficiency as volume grows
• Maintain accurate records and operational documentation

Cross-Functional Coordination

• Work closely with sales/loan officers to support pipeline momentum
• Flag issues, bottlenecks, or risks early and help drive resolutions

What We’re Looking For

• Either bachelor’s degree in Business Administration, Finance, Accounting, Operations Management, Economics, MIS, Communications, or a related field or 2+ years of equivalent experience in operations, loan operations, mortgage, finance, or a similar role
• Strong follow-up, organization, and time-management skills
• Comfortable managing multiple files, deadlines, and priorities simultaneously
• Clear communicator who can confidently follow up with borrowers and internal teams
• Detail-oriented with a process-driven mindset
• Experience with CRMs, loan systems, or operational tools is a plus
• Payroll or administrative operations experience is a plus (not required)

Compensation

• $70,500 base salary
• Monthly performance bonus. $200 per funding bonus for every funding above 20+ units per month.
• Opportunity for title and compensation growth based on performance
