Description

The Construction Project Administrator is responsible for supporting the planning and execution of construction projects by managing documentation, coordinating communication, and ensuring compliance with contracts and regulations. This role works closely with project managers, superintendents, subcontractors, and vendors to ensure projects run efficiently and stay on schedule and within budget. ________________________________________ Key Responsibilities • Project Administration & Document Control o Maintain and organize all project documentation including contracts, RFIs, submittals, change orders, and permits o Track and process subcontracts, purchase orders, and vendor agreements o Ensure accurate filing and version control of project records • Contract & Financial Support o Assist with tracking budgets, invoices, and project cost reports o Manage subcontractor pay applications, lien releases, and insurance compliance o Support accounting with billing, cost reporting, and financial documentation • Project Coordination o Coordinate communication between project managers, field teams, subcontractors, and vendors o Schedule meetings, prepare agendas, and track action items o Monitor project schedules and assist in keeping deliverables on track • Compliance & Reporting o Ensure adherence to safety regulations, labor compliance (e.g., certified payroll), and contract requirements o Maintain accurate compliance documentation including permits and regulatory filings o Prepare reports, meeting minutes, and status updates for stakeholders • Project Support o Assist with bid packages, vendor coordination, and material procurement o Support project closeout activities (final documentation, warranties, etc.) o Act as a key administrative liaison between office and field teams

Qualifications • 2–4+ years of experience in construction administration, project coordination, or related role • Strong understanding of construction processes, contracts, and documentation • Proficiency in Microsoft Office (Excel, Word, Outlook) and construction software (e.g., Procore, Bluebeam) • Excellent organizational, communication, and multitasking skills • Ability to manage multiple projects and deadlines simultaneously

This is a Contract to Hire position based out of Modesto, CA.

The pay range for this position is $25.00 - $28.00/hr.
