Accounting & Billing Specialist

Job Overview We are a growing professional services firm seeking an Accounting & Billing Specialist to support leadership with day‑to‑day accounting operations and firm‑wide billing. This role offers strong exposure to both transactional accounting and revenue cycle management. The position is located in Paramus, NJ, US. Key Responsibilities Prepare, review, and finalize client invoices. Track work in progress, unbilled time, expenses, and retainers. Partner with internal stakeholders to ensure accurate and timely billing. Process adjustments, write‑ups/down, and credits. Monitor accounts receivable and follow up on outstanding balances. Maintain billing records and support monthly billing cycles. Assist with accounts payable, accounts receivable, and daily accounting activities. Prepare journal entries and help maintain the general ledger. Reconcile bank accounts, credit cards, and balance sheet accounts. Support month‑end and quarter‑end close (accruals, variance analysis). Assist with revenue recognition tied to billing activity. Contribute to year‑end processes, audits, and ad‑hoc projects. Qualifications 3–5+ years of accounting, billing, or AP/AR experience (professional services a plus). Bachelor’s degree in Accounting, Finance, or related field. Exposure to WIP, retainers, utilization, and project‑based revenue models. Experience with billing systems or expense tools. Strong Excel skills (lookups, pivots, reconciliations). Detail‑oriented with strong organization and communication skills. Ability to manage deadlines and handle confidential financial information. Systems & Tools Time & billing / practice management systems (e.g., Office Tools, Canopy, CCH, Thomson Reuters). Accounting software (e.g., QuickBooks Online). Advanced Excel.
