Executive Assistant, Undergraduate Studies Division (4702C) 87066

Position Summary The Executive Assistant provides administrative oversight to the Dean of Undergraduate Studies and senior leadership team, managing schedules, communications, and sensitive projects requiring high independence and initiative. This role handles confidential and critical work, coordinating executive activities and supporting the dean's strategic objectives. Responsibilities Oversee daily administrative operations of the dean’s office Manage Dean and Associate Dean schedules, including complex meetings, travel and logistics Plan and coordinate meetings, retreats, events, catering, AV, and materials Provide in‑office support for 1:1 and group meetings Develop and maintain efficient systems for information and communication management Prepare agendas, briefings, and written communications on behalf of the Dean Investigate issues, compile reports, and provide briefing materials for projects Build and maintain relationships with internal and external constituents, including donor engagement Support L&S Executive Committee meetings and administrative needs Process executive expense reports and reimbursements promptly Act as gatekeeper, prioritize requests, and serve as first point of contact for the Dean Respond to inquiries from faculty, staff, students, and the public, escalating as needed Assist in office operations: supplies, conference room scheduling, travel reimbursement, shared drives, and email lists Delegate tasks to student workers and serve as backup to other EAs when required Coordinate special projects and provide high‑level support in procurement, finance, and personnel areas Perform additional duties as assigned by the Dean, Associate Deans, or divisional team Required Qualifications Excellent analytical/problem‑solving skills Outstanding organizational skills with exceptional attention to detail Political acumen and sensitivity to diverse perspectives Excellent interpersonal, oral, and written communication skills Strong service orientation Ability to work independently and collaboratively across levels High level of discretion and confidentiality Ability to multitask under demanding timeframes Proficiency in Google Docs, Sheets, Microsoft Word, and Excel Strong computer skills and quick learning of new technical tools Project management skills Preferred Qualifications Knowledge of campus processes, protocols, and procedures Knowledge of federal regulations such as FERPA Mastery of common campus technology and office tools Education / Training • Bachelor’s degree in a related area and/or equivalent experience/training. Salary & Benefits Step 5: $85,438.45 to Step 15: $104,142.26 (monthly‑paid) Full‑time (40 hours/week), exempt, career position eligible for UC benefits Application Review Date The first review date for this job is July 8, 2026.
