Legal Executive Assistant - Disputes

Summary Legal Executive Assistant (LEA) – Disputes, supporting attorneys in the practice area, managing daily practice functions, coordinating with Legal Administrative Assistants (LAA) and Legal Support Assistants (LSA) to ensure efficient service delivery. Location San Francisco office – hybrid work schedule. Responsibilities Support and manage attorney’s projects, ensuring deadlines are met and tasks completed efficiently. Consult with lawyers and administrative teams to maintain project milestones. Act as liaison between attorneys, clients, and internal departments, handling inquiries and relaying messages accurately. Utilize independent judgment and make sound decisions on behalf of the attorney. Develop and maintain professional relationships across teams for effective collaboration. Provide direction, constructive feedback, mentorship, and professional development support to LSAs. Draft, proofread, and finalize legal documents, correspondence, and presentations, ensuring accuracy. Oversee maintenance of electronic and paper filing systems within the firm’s DMS/repositories. Conduct research for case preparation and executive briefings. Coordinate meeting planning, logistics, agendas, and materials, ensuring timely support for all attendees. Manage billing matters, approvals, prebills, and follow‑up on invoices to maintain timely delivery. Handle attorney’s calendar, schedule meetings, resolve conflicts, and organize complex travel itineraries. Ensure accurate processing of attorney expenses and time entries by support teams. Desired Skills & Qualifications Proficient in native regional language communication via email and voice. Strong adaptability, discretion, and commitment to professional development. Excellent interpersonal and communication skills; able to convey complex information clearly. Process‑driven with strong time‑management, prioritization, and multitasking under fast‑paced conditions. Expertise with technology and firm software—including research tools, case management, accounting, and standard productivity applications (Word, PowerPoint, Excel). Proficiency in virtual collaboration tools such as Zoom and Teams. Comfort with AI‑powered tools for document production, review, and research. High school diploma or GED required; bachelor’s degree in legal studies, business administration, or related field preferred. Minimum five (5) years of administrative experience supporting upper‑level leadership in a corporate/legal environment. Essential Job Expectations Communicate effectively with clients, lawyers, business professionals, and third parties. Produce deliverables, answer phone calls, and respond to correspondence efficiently. Deliver accurate, quality work product on time. Foster positive work relationships and comply with firm policies. Engage in physical and sedentary tasks appropriate to the role. Work under pressure and manage competing demands in a fast‑paced environment. Perform additional duties, tasks, or projects as assigned. Physical Demands & Work Environment Predominantly sedentary work; occasional lifting up to 10 pounds.
