Accounts Receivable Specialist I

GENERAL DESCRIPTION OF POSITION

The Accounts Receivable Specialist is responsible for recording and monitoring rental activity for Communities managed by Hawthorn Senior Living and related business entities in a professional, accurate and timely manner.

REQUIRED KNOWLEDGE, SKILLS, ABILITIES & BEHAVIORS

• High school graduate or equivalent is required; Associate Arts degree preferred.
• Minimum two years accounts receivable experience preferred; experience with accounts aging and collections of delinquent accounts preferred.
• Proficiency in data entry skills; familiarity with word processing and spreadsheet computer programs.
• Ability to operate 10-key by touch.
• Ability to work flexible hours, if required.
• Must be detail-oriented with good organizational skills.
• Ability to prioritize and organize multiple work duties.
• Embodies a patient and creative attitude with the ability to “think outside the box”.
• Demonstrates a commitment to and respect for all individuals.
• Builds on basic learning and carries it from one situation to another.

ESSENTIAL DUTIES AND RESPONSIBILITIES

• Regular, on-site attendance and punctuality is required as scheduled.
• Takes responsibility for maintaining current knowledge of the Hawthorn Senior Living Employee Handbook.
• Adheres to all company policies, procedures, and standards.
• Process and maintain building, unit and lease information and activity.
• Generate and edit revenues for assigned Communities.
• Record cash receipts, including monitoring and managing auto rents received.
• Assess and process late/bank fees.
• Research and resolve issues as they occur.
• Analyze accounts receivable reports for performance issues.
• Analyze write-off amounts for outstanding account balances; process approved write-offs.
• Prepare appropriate backup for refunds
• Process and edit rental and/or service level adjustments.
• Work as a team with other Accounts Receivable staff and assist where needed to meet departmental deadlines.
• Research and resolve integrity issues between Community information and home office records.
• Support in testing issues for new software or enhancements to current software.
• Perform other duties as assigned by Supervisor.

OTHER DUTIES AND RESPONSIBILITIES

• Performs all work assigned for the agreed-upon hourly wage, accepting no additional payment or non-perishable gifts from residents, vendors, Community Management Teams or others.
• Use time keeping system to report hours worked, on a daily basis, as well as the start and stop times of your meal periods.
• Meets the assigned work requirements of the job.
• Adheres to dress/appearance code. Changes in attire may be dictated by special occasion or weather conditions. If you have questions, check with your supervisor.
• Serves as a role model for all employees by displaying a responsible, cooperative, and positive attitude.
• Represents the Company in a professional, courteous, and friendly manner when in public.
• Understands safe and proper chemical use and adheres to safety protocols. This includes using personal protective equipment when necessary.
• Attends education and training classes as necessary to fulfill company training requirements and/or state regulations applicable to the position.
• Maintains personnel, resident, and business proprietary and/or confidential matters/material in strict confidence with management of the Company (and/or Company staff as needed).
