Workplace Experience Coordinator

Job Title: Workplace Experience Coordinator
Job Location: New York, NY (Onsite)
Job Duration: 3 Months (Potential for extension or conversion)
Schedule: Hours 8-5, 40 hours/week (standard business hours, slight flexibility possible)

Job Description:
Pre-Screening Questions
  • Describe your experience in high-end customer service or hospitality
  • How do you handle multiple priorities at a busy front desk?
  • Provide an example of delivering a "white glove" experience
  • Are you comfortable working fully onsite in NYC?
  • What systems/tools have you used for visitor management or scheduling?

Work Environment
  • Professional, high-visibility corporate office
  • Hospitality-driven, client-facing role
  • Requires polished presence, attention to detail, and proactive service
  • Part of Workplace Experience/Facilities team supporting employees, clients, and visitors
  • Collaboration with office leadership, facilities, and vendors (catering, building management)

Typical Responsibilities
  • Greet and welcome employees, clients, and guests professionally
  • Manage front desk operations (sign-in procedures, visitor management)
  • Coordinate meeting room bookings, setup, and readiness
  • Perform daily workplace checks (cleanliness, supplies, catering setup)
  • Handle incoming calls, emails, and service requests
  • Support events and meetings as needed
  • Partner with facilities/vendors to resolve issues promptly
  • Deliver seamless "white glove" visitor experience

Preferred Skills
  • Hospitality or hotel front desk/reception experience
  • Corporate office/workplace services background
  • Event coordination or meeting support experience
  • Familiarity with concierge-style service delivery

Qualifications
  • Experience: 2+ years in front desk, hospitality, or customer-facing role
  • Education: High school diploma required; Associate/Bachelor's degree preferred
  • Software Skills: Microsoft Office (Outlook, Teams, Excel, Word), calendar/room booking systems
  • Licenses/Certifications: Not required
