Join a growing AEC organization with opportunities for professional growth Play a key role in the company's project financial operations Work closely with Project Managers and senior leadership Opportunity to leverage and deepen your Deltek Vantagepoint / Vision expertise Collaborative, team-oriented environment Job Details The Project Billing Specialist will be responsible for managing the billing process across a portfolio of projects, partnering closely with Project Managers, Accounting, and Operations to ensure invoices are accurate, timely, and aligned with project contracts. The ideal candidate will have hands‑on experience with Deltek Vantagepoint or Vision, understand AEC project billing practices, and be comfortable working with project managers to resolve billing issues. Responsibilities Prepare and process monthly and recurring project invoices in Deltek Vantagepoint / Vision Review project financial information, including labor, expenses, billable costs, and contract terms Ensure invoices are accurate and submitted according to client requirements and billing schedules Work closely with Project Managers to review project budgets, billing status, and outstanding items Track WIP, unbilled revenue, retainage, and accounts receivable Research and resolve billing discrepancies and project accounting issues Review time and expense entries for accuracy and proper project coding Set up and maintain project billing information within the ERP system Assist with contract modifications, change orders, and project closeout billing Monitor outstanding invoices and assist with collections and accounts receivable follow‑up Prepare billing reports and provide project financial information to Project Managers and leadership Maintain accurate documentation and ensure compliance with internal billing procedures Support month‑end and year‑end close activities related to project billing Identify opportunities to improve billing processes, reporting, and efficiency Qualifications 2+ years of experience in project billing, project accounting, or billing coordination, preferably within an AEC, architecture, engineering, or construction environment Hands‑on experience with Deltek Vantagepoint and/or Deltek Vision is strongly preferred Understanding of WIP, project accounting, percentage of completion, retainage, and unbilled costs Strong understanding of project‑based billing and contracts Advanced attention to detail and strong organizational skills Ability to manage multiple projects and competing deadlines Strong Excel skills Excellent communication and interpersonal skills Ability to work effectively with Project Managers, accounting teams, and clients Preferred Experience Experience working within an architecture, engineering, construction, or professional services firm Experience with Deltek Vantagepoint / Vision Familiarity with time & expense management and project accounting Experience with monthly project billing cycles and month‑end close Experience working with fixed‑fee, T&M, cost‑plus, and other project billing structures Jobot is an Equal Opportunity Employer.
