Nursing Scheduler 4 days ago Requisition ID: 1123 Salary Range: $24.00 To $28.00 Hourly POSITION OBJECTIVE/SUMMARY: The Nursing Scheduler is responsible for scheduling employees to ensure sufficient coverage of staff for all shifts within AIP/CIP for Kedren. The nursing scheduler generates, manages and updates master schedules while making adjustments as needed according to census fluctuations, call-ins, and pre-planned leaves of absence. MINIMUM QUALIFICATIONS REQUIRED FOR THIS POSITION: Experience in administrative clerical support in a psychiatric or other healthcare environment preferred. Experience in MS Word, Excel and a data entry database computer software in a windows environment. Must be organized, detail oriented and have the ability to handle confidential information. Possesses excellent written, verbal communication and interpersonal skills, the ability to interface with all levels of management, clients and associates while building strong relationships. Must have the ability to problem solve, meet deadlines and follow through on work assignments in a fast‑paced environment. The ability to work overtime and/or additional days on special projects as needed. GENERAL STATEMENT OF FUNCTIONS: Maintain staffing operations across both units across all shifts: AIP and CIP (AM, PM, NOC). Maintain accurate staffing list of all Nursing Department employees (FT/PT/Per Diem/Registry) to include names and contact information such as current telephone numbers, email, emergency contact, and home address. Process requests for sick time off, vacation, maternity leave, Family Medical Leave Act (FMLA), and unpaid leaves of absence after approval by DON. Notify DON of nursing employees schedules per shift per unit on a daily basis. Fulfilling staffing vacancies in advance to ensure adequate coverage for all shifts by using FT/PT/Per Diem and Registry staff. OT and Double time must be approved by DON. Maintain open and professional communication with Registry Agencies, keep phone numbers of all administrative contact persons up to date. Be available to receive phone calls and/or text messages from Registry Agencies regarding staffing needs as needed. Keeping meticulous attendance records by monitoring overtime and attendance of employees. Notify Director of Nursing of potential need for the progressive disciplinary process if staff members accrue excessive absences and/or tardiness. Communicating with Unit Supervisors and the Director of Nursing / Chief Nursing Officer regarding floor orientation scheduling for newly hired employees in the nursing department. Checking time clock punch records against master schedules and noting the appropriate changes. Signing time correction forms for events such as missing meal periods or forgetting to clock in/out. Track a document all in‑service training sessions. Utilizing computer software to prepare, change, and update the master schedule. Secure coverage for vacancy shifts. Work with the payroll manager to verify payroll accuracy. Communication Effectiveness – Clearly conveys information and ideas through a variety of media to individuals or groups in a manner that engages the audience and helps them understand and retain the message. Compliance – Ensures compliance and examines patient information to insure that they comply with company and industry regulations, and service policies and procedures. Office Management – Plans, organizes, and utilizes office technology and procedures to utilize efficient scheduling, prioritization and programs for staff and clients. Property Management – Manages/oversees occupant services (parking, janitorial services, food services, helpdesk, security and safety). Resource Management – Identifies, enrolls and sustains resources such as people, technology, community services and programs effectively that can be utilized to fulfill the mission and vision of the organization to meet the needs of the clients to optimally live productive lives. Service Focus – Balances interests and needs of a variety of internal customers and clients; adjusts priorities to respond to pressing and changing demands. Anticipates and meets the need of the customer and client; achieves quality results; is committed to continuous improvement of services. Team Work – Functions effectively as a member of an inter‑professional team that includes behavioral health and primary care providers and family members to move the team toward the completion of the goal(s). Technical Capability – Applies and demonstrates technical capacity for job specific technical requirements including software technology, applications, judgment and procedures to achieve position requirements and organizational needs.
