Executive Operations Coordinator for Sean N. Parker Center

Position Summary The Center is seeking an Administrative Associate III to provide high‑level administrative and operational support with minimal supervision. The incumbent may lead other administrative staff or subordinates and is responsible for managing multiple, competing responsibilities and projects that require judgment and discretion. Key Responsibilities Act on behalf of the supervisor, department manager, or chair in establishing priorities and resolving administrative problems. Oversee and perform duties associated with scheduling, organizing, and operating complex conferences, seminars, and events, including vendor coordination, production and distribution of materials, logistics, and budget management. Compose and draft documents and correspondence for presentations, course handouts, grants, conferences, seminars, and reports; perform substantive editing, fact‑checking, and content accuracy for unit documents, reports, brochures, social media, and websites. Plan and schedule calendars with limited consultation, resolve conflicts, and arrange travel in compliance with unit, university, and sponsor policies. Oversee and process a variety of complex financial transactions; produce, monitor, and reconcile budget statements; research, identify, and resolve discrepancies; assist with capital or special equipment requests and vendor selection. May lead staff or supervise day‑to‑day work of students or temporary workers, including scheduling, assigning, prioritizing workloads, setting deadlines, reviewing quality, and providing performance‑review input. * Other duties may also be assigned.
