Job Summary
We are seeking a detail-oriented and customer-focused HR Onboarding & I-9 Compliance Coordinator to support the end-to-end onboarding experience for new hires. This role is responsible for ensuring a seamless transition from pre-employment through post-hire by providing timely guidance, maintaining compliance with employment eligibility requirements, and delivering exceptional support to employees, managers, and HR partners.
The ideal candidate will have experience in onboarding operations, I-9 compliance, case management, and HR systems administration, with the ability to manage multiple priorities in a fast-paced, highly regulated environment.
Key Responsibilities
- Facilitate an end-to-end onboarding experience from pre-employment through post-hire, ensuring new hires and managers receive clear guidance, timely communication, and ongoing support.
- Oversee daily Form I-9 processing activities, including reviewing Section 1 and Section 2 completion, identifying overdue or missing requirements, conducting reverifications, and ensuring compliance with federal employment eligibility regulations.
- Manage a high-volume caseload through the Case Management System, responding to inquiries and resolving issues within established Service Level Agreements (SLAs).
- Partner with employees, managers, HR Business Partners, recruiting teams, and external vendors to address onboarding and compliance-related questions.
- Escalate complex onboarding, I-9, or compliance issues as appropriate while ensuring timely resolution and documentation.
- Maintain current knowledge of company policies, employment eligibility regulations, compliance requirements, and risk-based operational processes.
- Support operational audits, compliance reviews, documentation verification, and ongoing monitoring activities.
- Protect sensitive employee and company information by maintaining strict confidentiality and data security standards.
- Utilize HR platforms such as Workday, ServiceNow, and other HRIS tools to manage onboarding workflows, case documentation, and compliance activities.
- Deliver a high-quality customer experience through proactive communication, problem-solving, and process guidance throughout the onboarding lifecycle.
- Identify opportunities for process improvements that enhance efficiency, compliance, and employee experience.
Required Qualifications
- 1–3 years of experience in Human Resources, onboarding, compliance, operations, or administrative support within a regulated environment.
- Working knowledge of Form I-9 requirements, including Section 1, Section 2, reverifications, and employment eligibility documentation.
- Experience using Workday, ServiceNow, or similar HR information systems.
- Strong attention to detail and accuracy with the ability to manage confidential information.
- Proven ability to manage multiple cases, prioritize tasks, and consistently meet established SLAs.
- Excellent verbal and written communication skills with a strong customer service orientation.
- Strong analytical, problem-solving, and decision-making skills with the ability to apply a risk-based approach.
- Proficiency in Microsoft Office Suite and comfort navigating multiple digital platforms and workflows.

- Experience conducting, I-9 audits, corrections, or E-Verify activities.
- Prior experience supporting high-volume onboarding, HR operations, or shared services environments.
- Knowledge of federal employment eligibility laws and documentation standards.
