Advancement Assistant (Data and Events)

Title Advancement Assistant (Data and Events) Reports to Executive Director of Institutional Advancement (EDIA) Regular Work Schedule Full‑time; in‑person: 8:30 a.m. to 5:00 p.m. with a ½ hour unpaid lunch break Salary Range $27–30 per hour Primary Responsibilities Gift management: process and record all donor and gift information, pledge documentation, and acknowledgements. Maintain constituent records and database integrity across The Raiser’s Edge, Veracross, and MailChimp. Produce constituent reports, mailing lists, mail merges, volunteer data lists, and financial reports. Plan and execute event material production (name tags, signs, swag, etc.) in partnership with Event and Advancement teams. Manage daily workflows for gift entry, acknowledgements, and related administrative projects. Collaborate with the Advancement team on large community events and creative problem‑solving. Provide general office support: manage purchases, schedule room reservations, and perform administrative tasks for fundraising, events, and communications. Act as back‑up for the front desk when needed. Qualifications & Experience 1–2 years of data‑management experience in a fast‑paced environment. Prior school‑environment experience is a plus. Knowledge or willingness to learn The Raiser’s Edge (Blackbaud) software. Proficiency in Windows, Microsoft Office (Word, Excel, PowerPoint), Google Suite, and Canvas. Strong verbal and written communication, proofreading, and organizational skills. High level of professionalism, confidentiality, and cultural humility. Passions and Abilities Deep appreciation for The Hamlin School mission and independent school context. Positive, team‑oriented attitude. Comfortable working with K‑8 students and colleagues. Willingness to grow professionally in advancement. Availability for occasional evening and weekend hours. Physical Demands Frequent use of a computer for reports, emails, and presentations. Effective speaking and hearing in a school environment. Movement around campus, including lifting up to 25 lb.
