We're on the hunt for a highly skilled Fleet Manager to oversee company-wide fleet operations, vehicle safety, maintenance compliance, telematics, driver compliance, and fleet-related risk. This role identifies fleet issues, coordinates corrective action, escalates unresolved concerns, and follows through to resolution. You'll be responsible for the monitoring, reporting, coaching, documentation, and administrative activities necessary to keep the company's fleet safe, compliant, reliable, and cost-effective while ensuring required work is completed correctly and on time. The pay range is $65,000- $100,000 depending on location and experience and includes benefits PTO and 401k.

What You Bring to the Table:

• 3+ years of experience in fleet operations, transportation, vehicle maintenance coordination, safety, compliance, or a related field preferred.

• Experience with Samsara, Fleetio, or similar telematics and fleet-management platforms preferred.

• Experience monitoring DOT/FMCSA compliance, driver records, preventive maintenance, or vehicle safety programs preferred.

• Experience coordinating vendors, repairs, insurance claims, or multi-location fleet activities.

• Demonstrated ability to hold others accountable, escalate unresolved issues, and follow through to closure.

• Strong organization, follow-through, and attention to detail.

• Ability to manage multiple deadlines, compliance requirements, and open issues simultaneously.

• Strong written and verbal communication skills, including coaching and escalation.

• Ability to interpret dashboards, reports, fault codes, maintenance records, and compliance data.

• Working knowledge of fleet management systems, telematics, DOT/FMCSA requirements, driver qualification files, ELD/HOS rules, and preventive maintenance practices.

Your Mission:

Fleet Monitoring & Daily Operations

• Review Samsara each business day for safety events, fault codes, HOS violations, unassigned driving, communication issues, and other alerts requiring action.

• Review Fleetio for preventive maintenance due dates, overdue work orders, repair status, vendor updates, and vehicle records requiring follow-up.

• Determine when a vehicle should be removed from service and notify the appropriate manager.

• Maintain accurate and consistent vehicle and driver records across fleet systems.

• Track open fleet issues and follow them through resolution.

Driver Safety & Compliance

• Monitor driver safety performance and review video and event data to identify trends and areas requiring coaching or corrective action.

• Track and document driver coaching, acknowledgments, corrective actions, and unresolved safety concerns.

• Monitor medical cards, CDL expirations, annual MVRs, DOT inspections, registrations, driver qualification files, and other compliance requirements.

• Conduct monthly audits of vehicle records, driver files, ELD/HOS activity, maintenance compliance, and fleet platform data.

• Support annual and recurring regulatory filings, registrations, insurance renewals, and required fleet reporting.

• Develop, maintain, communicate, and periodically review company fleet policies, driver standards, vehicle-use requirements, and operating procedures.

• Maintain organized fleet, driver, maintenance, inspection, ELD, and compliance records in accordance with applicable retention requirements.

• Keep records organized and ready for internal, insurance, or regulatory audits.

Maintenance & Vendor Management

• Ensure preventive maintenance is scheduled and completed on time.

• Escalate overdue maintenance, stalled repairs, and unresolved vehicle issues.

• Oversee driver pre-trip and post-trip vehicle inspections.

• Track reported defects and confirm unsafe vehicles are removed from service until repairs are completed and documented.

• Coordinate repair vendors and monitor service quality, turnaround times, invoices, and warranties.

• Escalate recurring vendor performance issues.

• Monitor maintenance spending, repair trends, vehicle age, mileage, condition, and total cost of ownership.

• Administer or oversee the company fuel-card program, including card assignments, purchasing controls, exceptions, and suspected misuse.

• Monitor fuel consumption, fuel efficiency, idling, mileage, and related cost trends and recommend corrective action when appropriate.

Fleet Systems & Data Administration

• Manage fleet data and system administration in Samsara and Fleetio, including assets, users, assignments, permissions, maintenance schedules, and reporting.

• Maintain accurate vehicle, driver, maintenance, compliance, and assignment records across fleet systems.

• Prepare weekly, monthly, quarterly, and annual fleet and safety summaries for leadership.

• Use fleet data and reporting to identify trends, recurring problems, and opportunities to improve safety, reliability, and cost control.

Resource Planning & Vehicle Acquisition

• Develop and maintain a company-wide fleet resource plan based on staffing levels, branch growth, operational needs, vehicle utilization, replacement schedules, and upcoming projects.

• Track current and anticipated vehicle needs by branch and provide leadership with recommendations for additions, replacements, transfers, or disposals.

• Review vehicle requests and help determine the appropriate vehicle class, specifications, equipment, and timing based on operational requirements and total cost of ownership.

• Support fleet budgeting and capital planning by maintaining purchase forecasts, replacement timelines, and anticipated vehicle requirements.

• Assist with the vehicle acquisition process by gathering quotes, comparing purchase and lease options, coordinating approvals, assisting with ordering, and tracking vehicles through delivery.

• Coordinate with leadership, finance, procurement, branch managers, dealers, and upfit vendors throughout the purchasing process.

• Prepare fleet replacement, disposal, transfer, and acquisition recommendations for leadership.

Vehicle Lifecycle & Special Projects

• Own the end-to-end onboarding process for new vehicles, including GPS installation, Fleetio setup, preventive maintenance schedules, decal installation, registration verification, and go-live approval.

• Coordinate vehicle insurance claims from first notice of loss through repair, settlement, documentation, and closure.

• Lead fleet integration activities during acquisitions, including asset discovery, system migration, hardware deployment, compliance remediation, and 30/60/90-day follow-up.

• Support additional fleet-related projects and initiatives as the company continues to grow.

Accountability & Escalation

• Identify and promptly escalate unresolved, high-risk, or noncompliant conditions.

• Document fleet issues, corrective actions, and follow-up in writing.

• Hold responsible parties accountable for completing required actions.

• Follow issues through resolution rather than simply identifying or reporting them.

• Perform additional duties as assigned to support fleet operations and company growth.

Before You Leap:

Some positions require travel and overnight stays. Travel expenses will be covered by Nwestco, LLC

• Ability to pass pre-employment physical with extensive lifting (up to 75 lb), twisting, pulling, kneeling, and squatting.

• A valid driver's license with a clean driving record over the past 5 years required.
