Position Overview

We are seeking a detail-oriented Supply Chain Coordinator to support purchasing, inventory control, and supplier coordination for a client in the nutritional supplement industry. This role is responsible for managing day-to-day procurement activities, monitoring inventory levels, coordinating with suppliers and contract manufacturers, and maintaining accurate supply chain documentation.

The ideal candidate is highly organized, proficient in Microsoft Excel, and capable of managing multiple priorities while ensuring accurate inventory records, timely order fulfillment, and effective communication across internal teams and external partners.
Key Responsibilities
Purchasing and Supplier Coordination

• Create, maintain, and track purchase orders for raw materials, packaging components, labels, and finished goods.
• Verify item numbers, specifications, quantities, pricing, and expected delivery dates for purchase orders.
• Follow up with suppliers and contract manufacturers regarding order confirmations, production schedules, material availability, shipment status, and overdue commitments.
• Identify and escalate supply delays, shortages, and unresolved supplier issues.
• Assist with quote comparisons and cost-saving opportunities related to packaging, suppliers, freight, and storage.
• Coordinate pricing discrepancies, shortages, damaged goods, rejected materials, returns, and order cancellations within established approval limits.
• Collect and maintain supplier documentation and approved product specifications, coordinating updates with management and compliance teams as needed.

Inventory Control and Reconciliation

• Monitor and coordinate inventory levels at contract manufacturing facilities and third-party warehouses.
• Track company-owned raw materials, packaging components, labels, and finished goods stored at external locations.
• Reconcile shipment documentation against purchase orders and inventory records.
• Investigate discrepancies involving quantities, lot numbers, item numbers, and receiving records in coordination with suppliers, warehouse teams, and Accounting.
• Assist with cycle counts, physical inventories, and monthly inventory reconciliations.
• Research inventory variances, document findings, and follow through on approved adjustments.
• Maintain inventory and open-order reports while identifying shortages, expiration risks, excess inventory, and potential production constraints.

Label and Packaging Coordination

• Monitor label and packaging inventory, usage, reorder requirements, and revision status at company and contract manufacturing locations.
• Coordinate label changes and purchasing activities using current approved artwork and specifications.
• Obtain required approvals and communicate effective revisions before updated labels are printed or used.
• Identify obsolete labels and raw materials when replacements or revisions are initiated.
• Coordinate authorized disposal or destruction of obsolete materials and maintain accurate records of quantities, lot numbers or revisions, locations, and disposition.
• Confirm that obsolete materials are removed from use and approved replacement materials are available for production.

Documentation and Administrative Support

• Maintain accurate, organized, and up-to-date shared files, item records, purchase orders, and inventory trackers.
• Support document organization, data cleanup, and file management within OneDrive or similar platforms.
• Assist with laboratory request and sample tracking as assigned.
• Collect third-party laboratory reports and Certificates of Analysis (COAs) and route documentation to the appropriate compliance personnel for review.
• Follow up on missing test results, required documentation, and outstanding approvals.
• Follow established standard operating procedures (SOPs) and approval processes.
• Assist with process improvements, documentation updates, training, and supplier inventory activities as assigned.
• Provide timely status updates, maintain follow-up lists, meet deadlines, and proactively communicate potential roadblocks.
• Support ERP system training, data validation, and workflow testing as assigned.

Required Qualifications

• Relevant experience in supply chain coordination, purchasing, inventory control, manufacturing, or distribution.
• Bachelor's degree in a related field or equivalent relevant work experience.
• Strong Microsoft Excel skills, including maintaining reports, reconciling data, and identifying discrepancies.
• Experience using enterprise resource planning (ERP), inventory management, or purchasing systems.
• Excellent attention to detail, organizational skills, and written and verbal communication abilities.
• Strong time management skills and the ability to manage multiple priorities simultaneously.
• Ability to investigate discrepancies, understand inventory transactions, and work independently within established procedures.
• Demonstrated ability to collaborate effectively with internal departments, suppliers, contract manufacturers, and external warehouse partners.

Preferred Qualifications

• Experience with NetSuite, Acumatica, or similar ERP systems.
• Experience in nutritional supplements, food manufacturing, or another regulated manufacturing environment.
• Familiarity with Good Manufacturing Practices (GMP), lot traceability, Certificates of Analysis (COAs), and controlled label revisions.
• Experience coordinating inventory across multiple warehouses or contract manufacturing facilities.
• Familiarity with purchasing documentation, inventory reconciliation, and supplier quality records.
