This individual plays a vital role in creating an exceptional client experience while supporting the daily operations of a fast-paced family law firm. The ideal candidate is organized, detail-oriented, thrives in a fast-paced environment, and is passionate about delivering outstanding customer service. Responsibilities • Greet and welcome clients, visitors, and vendors in a professional and friendly manner.
• Answer, screen, and direct incoming telephone calls.
• Schedule consultations and manage attorney calendars.
• Check in clients and notify attorneys and staff of arrivals.
• Maintain a clean, organized, and professional reception area.
• Process incoming and outgoing mail, deliveries, and courier services.
• Assist with client intake forms and document collection.
• Scan, file, copy, and organize documents as needed.
• Order and maintain office supplies.
• Coordinate conference room scheduling.
• Provide administrative support to attorneys and office staff.
• Maintain confidentiality of all client and firm information.
• Perform additional administrative duties as assigned. Qualifications • Minimum of 2 years of receptionist, front desk, administrative, or customer service experience.
• Prior law firm or professional office experience preferred.
• Bilingual in English and Spanish preferred.
• Excellent verbal and written communication skills.
• Strong customer service and interpersonal skills.
• Exceptional organizational and multitasking abilities.
• Proficiency with Microsoft Office Suite (Outlook, Word, Excel).
• Experience with CRM or legal case management software is a plus.
• Ability to remain professional under pressure while managing multiple priorities.
• Strong attention to detail and problem-solving skills.
• High School Diploma or GED required; Associate's degree preferred.
