Executive Assistant – Human Resources
Location: Arcadia, CA (Onsite required)
Pay Rate: $45/hour
Overview:
The Human Resources department is seeking an experienced Executive Assistant to provide comprehensive administrative support to HR leadership. This individual will play a key role in managing calendars, coordinating meetings, preparing reports and presentations, and handling confidential information in a fast-paced healthcare environment. This is an excellent opportunity for a polished professional who is motivated to learn and grow.
Key Responsibilities
Provide high-level administrative support to the Vice President of HR and HR leadership team.
Coordinate and manage executive calendars, including scheduling meetings, appointments, and events.
Prepare correspondence, presentations, reports, and meeting materials with a high degree of accuracy and professionalism.
Organize and coordinate domestic travel arrangements and event logistics.
Maintain confidential records and provide support for HR-related projects and initiatives.
Screen and direct communications on behalf of executive leadership.
Uphold a professional business presence and demonstrate excellent judgement when handling sensitive information.
Anticipate the needs of executives and proactively manage priorities as circumstances change.
Required Qualifications
High School Diploma or GED required.
Minimum three (3) years supporting senior or executive-level leadership in an administrative or executive assistant capacity.
Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
Excellent written and verbal communication skills.
Outstanding organizational skills and ability to manage multiple priorities in a dynamic environment.
High degree of professionalism, discretion, and reliability.
Demonstrated ability to handle confidential information with integrity.
Stable work history.
Preferred Qualifications
Five (5)+ years supporting C-suite or senior executives.
Previous support experience in Human Resources and/or healthcare.
Bilingual (English/Spanish) strongly preferred.
Understanding of HR functions such as compliance and onboarding.
Experience organizing executive communications, travel, and event logistics.
