Human Resources Assistant

$23 - $25 per hour

Human Resources Assistant The Human Resources Assistant provides administrative support to the Human Resources Manager in the areas of HR reporting, recruitment, employee file creation and maintenance, attendance, benefits administration, employee development, terminations and employee relations. You will be of service to all employees and all stores as needed. The position is primarily based out of El Monte but you will need to travel 2-3x out of the week. You must be okay with driving to all stores; Huntington Beach, Glendale, DTLA and every other week to Moreno Valley Kia. Mileage is reimbursed. You must be okay with driving primarily to DTLA and Huntington Beach for the first few months for training. Full Time: Monday - Friday 8am- 4:30pm. This is an entry level position for someone who wants to get started in the HR field. Bilingual in Spanish and English is required. Job Description: A. Pre Employment / Contingency Process Ensure all documents are in compliance and signed attached with application Communicate with Hiring Managers regarding paperwork Check to ensure Driver License is valid/insurability with Thaxton Auto Insurance Enter Candidate information in to ADP Review Drug and Background Screens Communicate with Hiring Managers regarding hirable or not Follow up with Managers on status of candidates B. On Boarding Send new hire information to hiring manager Request New Hire Form (from hiring manager) Set up time with candidate to Onboard Ensure they know proper paperwork they will need Sales license for sales employees I9 verification documents Run E Verify Go through pre- employee packet with new employee Set up employees in CompliGo, ADP, Time Kiosk, etc. Upload employee file into ADP file storage File I9 and background check Make Badges C. Process Employee Changes and Terminations Request signed change form from manager Get new pay plan and job description signed. File in ADP Sand payroll change form and new pay plan Create new badge Grant/ remove access Move I9 to term folder D. FLMA Assist with administering Legally Required Paperwork Confirm and send out letter regarding monthly medical payment due Track Days out on FLMA Tracker Spreadsheet E. Recruitment Run Ads Source Resumes Screen Resumes Follow up with managers regarding feedback Job Fairs F. Workers Comp Understand and ensure process is being followed Assist with filing claims Follow up Continuous check ins with injured employees G. Employee Access Create employee emails Grant new hires or transfers necessary access (1st -7th of month) CDK, DealerTrack, VinSolutions, CDK Global H. Weekly Overtime Reports Candidate in Process Update New Hire Update Report I. Monthly Maintain new hire list for comparison Cross reference CompliGo Coordinate Benefit Meetings Ad Tracking Performance Standards Tracking Anniversary Tracking (cards / service pins) Sales license board compliance J. Quarterly Pull Notices from DMV (Drivers License Report) I9 purging K. Assist with employee relations L. Filing, Scanning M. Type Memos and Letters N. Make copies O. Run Various Reports P. 401k meetings (enrollment meetings April and October) Q. Treats members of the public and coworkers in a courteous and non-discriminatory manner and maintains a professional demeanor while on the job. Never use profanity. R. Adheres to the dealership's sexual harassment/non-discrimination policies and the other policies in the dealership handbook. S. Maintain ongoing compliancy with Car Pros Policies and Procedures via CompliGo. T. Assist with scheduling employee trainings Qualifications: PC literacy (MS Office) Excellent organizational skills Strong communications skills Able to exhibit a high level of confidentiality Bachelor's degree in related field Valid CA Drivers License Benefits: Employees (and their families) are eligible for medical, dental, vision, short/long term disability and basic life/ AD&D insurance after 60 days of employment. Car Pros sponsors 80% of basic medical (Kaiser Permanente), dental and vision insurance for employees. Employees pay the additional cost for dependents and any voluntary elections. Employees can enroll in company's 401k plan after one year of service. Employees will accrual one-hour personal time off for every 30 hours worked. Pay: $23-$25/hr
