Executive Assistant & Content Operations Coordinator

Role Description This is a full-time, on-site role based in New Haven, CT with occasional days at our other campuses in CT. The Executive Assistant & Content Operations Coordinator will provide direct administrative and operational support to CEO. This role is ideal for someone who is highly organized, proactive, detail-oriented, and comfortable working in a fast-paced, digitally driven environment that also has a high premium on healthy human relationships.

Core Responsibilities

Executive Support

· Manage the CEO's calendar, email, and communications with precision and discretion. Includes meeting scheduling, expense tracking, and preparation meeting materials and post-meeting summaries.

· Own traffic management between the CEO and direct reports and key external partners - incoming requests, deliverable tracking, follow-up queues, and overall ensuring follow-through on key initiatives and activities

· Anticipate needs before they become problems; flag risks early

Brand & Content Operations

· Project manage execution of CEO’s integrated curriculum, content, and brand plan (including speaker submissions, media and press kit assets, podcast outreach, conference logistics).

· Organize content calendars, tracking deadlines, routing materials for review and approval, and maintaining documentation in shared systems and project management tools

· Coordinate with internal team members and external vendors (including video/digital) to keep production on schedule

· Maintain and distribute monthly asset lists to the development team

Research

· Conduct targeted research in support of executive priorities, partnership development, and communications strategy

· Research and data are not superficial here, they feeds live decisions. The individual in this role must operate accordingly.

Qualifications

  • Strong organizational, time management, and prioritization skills, with the ability to manage multiple deadlines and stakeholders.
  • Experience supporting executives or senior leaders, including calendar management, meeting coordination.
  • Familiarity with content operations or content workflows, such as managing content calendars, tracking drafts and approvals, and maintaining shared documentation.
  • Proficiency with productivity and collaboration tools ( Microsoft 365 and project management platforms such as Monday.com).
  • Excellent written and verbal communication skills, with attention to detail, clarity, and professionalism.
  • Ideal candidate also has at least basic visual design skills (e.g., Canva; Adobe Creative Suite or similar would be a differentiator)
  • Ability to work on-site in New Haven, CT, with possibility of one (and on rarer occasions two) days a week at our Stamford or Hartford locations. collaborate effectively with cross-functional teams,
  • Maintain a high level of confidentiality and discretion. This role will have access to most communication and documents moving in/out of CEO's office and a very high level of integrity on issues of confidentiality is a strong requirement.
  • High level of adaptability to changing priorities and willingness to learn new tools and processes. Innovation and constantly being ahead of the curve in Education is and has been a central differentiator for dae - our internal operations reflect that priority.
  • Previous experience in operations, administration, content coordination, marketing, or a related field is preferred; a credential in any of these areas is great but what matters much more is demonstration of actual work and impact in these areas.
