Temporary Executive Development Administrator, Major Gifts ABOUT THE FOUNDATION The Lucile Packard Foundation for Children’s Health, in partnership with Stanford Medicine and Lucile Packard Children’s Hospital, unlocks philanthropy to transform health for children and families in Northern California – and around the world. Through fundraising and grantmaking, the Foundation drives scientific research, innovation, and policy change that will improve care, advance cures, and reform healthcare systems for this and future generations. MAIN FOCUS Key support for the administrative and program needs of the leadership of the Major Gifts team. LOCATION Hybrid Position – the candidate will work an average of eight (8) days per month in our Palo Alto, CA office; the successful candidate will be based in the Bay Area. WHAT YOU’LL DO In this role, you will provide high level administrative and operational support to the Vice President of Major Gifts, ensuring strong coordination across executive schedules, field team priorities, and departmental projects in a fast paced environment. You will manage complex and frequently changing calendars, meetings, and communications while supporting day‑to‑day workflows and operational needs. You will also support key content and initiatives, including managing an executive portfolio of donors and maintaining team communication platforms and shared resources. Your ability to stay organized, adapt quickly, and manage multiple priorities at once will keep the Major Gifts team aligned, responsive, and focused on advancing revenue growth and pipeline development in support of the Foundation’s mission. This is a temporary, full‑time position lasting approximately five months, from June through November 2026. The role reports to the Associate Director, Major Gifts Program. The compensation range for this role is between $45.67-$50.48 per hour. YOU’LL BE RESPONSIBLE FOR Support the VP in all aspects of meeting preparation, ensuring they are informed, organized, and on time for internal meetings and external donor engagements. Manage complex calendars and scheduling across Outlook, Teams, and other Microsoft products, balancing competing priorities with discretion and efficiency. Plan and coordinate meetings with cross‑functional teams and stakeholders while ensuring confidentiality and timely communication. Create and prepare meeting materials such as agendas, briefing documents, and presentations including PowerPoint decks for meetings. Perform a range of administrative duties including timely data entry of fundraiser contact reports into Raiser’s Edge, gift processing support of acknowledgement letters and gift transmittal forms for accurate allocation of philanthropic funds. Reconcile the Major Gifts team card for monthly processing within budget. Prepare for donor meetings including logistics, catering, parking and “know before you go” donor confirmation details and day of in‑person support as needed. Support production of briefings for faculty members, leadership, and donors related to events and speaking engagements. Assist with scheduling faculty calls for donor visit preparation, Science Under the Stars event support, and foundation board Big Science Task Force. Proactively manage qualification outreach for the Vice President suggesting engagement opportunities/next steps and participating in strategy development. Complete cross‑functional list reviews for the Vice President’s portfolio to manage appropriate levels of donor outreach. YOU MUST HAVE Bachelor’s degree or 4–5 years of equivalent practical experience. 2+ years of administrative experience supporting senior‑level executives. Minimum 4–5 years of experience working in development or other related field within the non‑profit sector – or equivalent combination of education and experience. Proficient in Microsoft Suite and products, including Outlook, Teams, Word, Excel, PowerPoint, Planner, Forms, OneDrive, and SharePoint. ADDED PLUS IF YOU HAVE EXPERIENCE WITH Experience in project management in a complex environment, preferably in healthcare or higher education. Familiarity with or an eagerness to learn communication/publication software and content sharing platforms such as Adobe Acrobat Sign, Qwilr, InDesign, and Merlin. Experience complying with HIPAA regulations. Genuine interest in improving health and well‑being for kids and families. YOU’LL BE SUCCESSFUL IF YOU POSSESS Project Management: Demonstrates strong ownership and initiative in managing complex, sometimes ambiguous projects with shifting priorities, working independently to drive work to successful completion with minimal supervision. Communication: Communicates clearly and confidently on behalf of Major Gifts team leadership with limited guidance, ensuring timely and effective outreach, and consistently producing high‑quality written materials with exceptional attention to accuracy and detail. Collaboration: Builds and sustains effective working relationships across all levels of the Foundation, hospital, and School of Medicine through strong interpersonal skills, political acumen, active listening, and sound judgment, including appropriate discretion with confidential information. Adaptability: Thrives in a fast‑paced, evolving environment by working independently with efficiency and accuracy, while also demonstrating the flexibility and collaborative mindset needed to contribute to a high‑performing development team. Process Improvement and Organization: Brings exceptional attention to detail and a systems‑oriented mindset to process improvement, proactively leveraging technology and new ideas while effectively operating at both strategic and tactical levels.
