We’re looking for a friendly, organized, and dependable Front Desk Coordinator to help create an exceptional experience for our pet parents from their first inquiry through every check-in and pickup. This role focuses on customer service, lead follow-up, scheduling, and front desk operations. You’ll introduce families to Dogtopia, explain our services and pricing, and help pet parents choose the right options for their dogs. Check dogs in and out accurately and efficiently. Review reservations, care instructions, and account notes. Communicate pet parent requests and updates to the appropriate team members. Process payments and help resolve account or billing questions. Follow Up with Leads & Explain Our Services Follow an established lead contact schedule through phone calls, texts, and emails. Answer questions from prospective pet parents and help schedule Meet & Greets. Clearly explain daycare, boarding, spa services, pricing, packages, and wellness plans. Help pet parents find services that fit their dog’s needs and their schedule. Follow up after Meet & Greets to answer questions and encourage enrollment. Document conversations and next steps so every inquiry receives timely follow-up. Keep Records Accurate & Organized Create and update pet parent and dog profiles. Contact veterinary offices to request and verify vaccination records. Review records for completeness and notify pet parents of missing or expiring vaccinations. Manage appointments, reservations, and data entry with attention to detail. Keep account notes and follow-up tasks current. Support a Welcoming Front Desk Answer phone calls, emails, and messages professionally. Keep the lobby and front desk clean, organized, and inviting. Become familiar with retail products and current promotions. Communicate concerns to management and help ensure pet parents receive timely answers. Work closely with the team to keep daily operations running smoothly. What We’re Looking For A friendly, outgoing personality and a love for dogs Strong communication and customer service skills Confidence discussing pricing, explaining services, and following up with potential customers Excellent organization, accuracy, and attention to detail The ability to prioritize tasks in a busy environment Comfort using computers, answering phones, and learning new systems A dependable team member who takes initiative and follows through Customer service, reception, or sales experience is a plus Our Dogtopia Values We
