Executive Assistant

The Executive Assistant performs advanced, diversified and confidential administrative duties in support to the Planning, Design & Construction department in reaching its goals. The EA manages and oversees all administrative procedures and processes required to successfully manage the portfolio of project work overseen by the PD&C group.

Job Qualifications and Competencies

  • Associates degree and five (5) years administrative experience in a similar professional environment, or equivalent combination of education and experience in a related field.
  • Initiative and judgment to solve work-related problems and prioritize.
  • Proficient in scheduling, Google Mail, Google Calendar, Google Drive, Word, PowerPoint, Excel, FileMaker Pro, Project
  • Ability to research, analyze, and summarize information.
  • Ability to foster a collaborative, team-centered environment.
  • Excellent communications skills.
  • Excellent time management skills.
  • Excellent organizational skills.
  • Excellent customer service skills.
  • Ability to handle high level administrative issues with discretion, timeliness, and sound judgement.
  • Requires knowledge of office practices, procedures and equipment, including filing systems, receptionist and telephone techniques, and letter and report writing.
  • Sufficient knowledge of proper English usage, grammar, spelling, and punctuation to prepare professional correspondence and reports.
  • Ability to receive and properly control sensitive, confidential, and private information.
  • Ability to learn, interpret, explain and apply knowledge of department organization, operations, programs, functions, and special terminology used in the organization unit.
  • Ability to plan, organize and prioritize work in order to meet schedules and timelines.
  • Ability to work as contributing member of a team, work productively, patiently, and cooperatively with other teams and external customers.
