Administrative Coordinator I

Administrative Coordinator I Agency : Texas A&M University Department : Libraries Position Type : Staff Location : College Station, Texas Salary : $3,750.00 monthly Work Hours : Monday through Friday, 8:00am to 5:00pm (on‑campus) Job Description The Texas A&M Libraries are seeking an organized and detail‑driven Administrative Coordinator I to support executive functions, including scheduling complex travel, arranging flights and hotels, managing conference room reservations, and assisting with logistics for major events and recruitment processes. The coordinator will provide hands‑on support to Associate University Librarians and the Libraries Administrative Suite, handling tasks such as calendar maintenance, front‑desk duties, and technical services for conference rooms. Responsibilities Provide administrative support for librarian recruitment, including travel arrangements, interview coordination, and itinerary preparation for candidate presentations. Manage travel, catering, and expenditure processing for librarian candidates using Emburse. Coordinate and document search committee meetings and related administrative tasks. Maintain conference room and vehicle calendars and assist with technical support for meetings in the Libraries Administrative Suite. Serve as backup for main line answering, front‑desk duties, and parking representation when needed. Act as supply clerk for Administrative Suite and Library units. Schedule library resource table reservations and assist in administrative event planning. Assist with maintaining calendars for the four Associate University Librarians and their units. Qualifications Bachelor's degree or equivalent combination of education and experience. Minimum of two years’ experience in office administration. Experience making travel arrangements and creating itineraries. Proficiency in Emburse and managing multiple calendars. Event coordination and planning experience. Knowledge of SharePoint, Google Docs, or other cloud‑based storage platforms. Excellent customer service and communication skills, both verbal and written. Ability to work effectively in a fast‑paced, changing environment and to multitask collaboratively. Detail orientation, strong organizational and planning competencies, and reliable attendance. Capacity to handle confidential personnel matters with discretion. #J-18808-Ljbffr
