Executive Assistant Summary
The Executive Assistant to the Chief Marketing Officer (CMO) will provide high-level administrative support to the CMO and their team. This role requires exceptional organizational skills, discretion, and the ability to manage complex schedules and priorities in a fast-paced environment. The ideal candidate will act as a trusted partner to the CMO, ensuring seamless coordination of meetings, travel, and communications while maintaining confidentiality and professionalism.
Executive Assistant Responsibilities
Manage and prioritize the CMO's calendar, including scheduling meetings, calls, and travel arrangements. Prepare and distribute meeting agendas, minutes, and follow-up action items. Serve as a point of contact for internal and external stakeholders, ensuring timely communication and coordination. Organize and manage special projects, events, and initiatives as directed by the CMO. Maintain confidentiality and handle sensitive information with discretion. Supervise general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work. Review and approve invoices, reports, memos, letters, financial statements, and other documents. Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution. Prepare agendas and make arrangements for committee, board, and other meetings. Make arrangements for travel, planning meetings, etc. Submission of travel and other expense sheets for the supported leaders, as well as other administrative submissions needed, as IT requests. Respond to requests that come in for items like periodic organizational chart updates, seating charts, etc. Manage an extremely active calendar of appointments; ensure that the executives stay on track during their day; prioritize meeting requests and handle conflicts or scheduling changes proactively. Assist with staff onboarding and offboarding, which includes requesting equipment setup and system access if needed. Triage and do basic troubleshooting for hardware. Software and phone issues. Office supply management, and other general office management functions. Liaison with customer and internal exec level. Develop and maintain cross-divisional relationships with other admin assistants. Handle ad hoc admin duties as they arise.
Executive Assistant Requirements
Bachelor's degree in business administration, Communications, or a related field. 6+ years of experience as an Executive Assistant or in a similar role. Strong organizational and time management skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Excellent written and verbal communication skills.
Executive Assistant Preferred Qualifications
Experience supporting C-suite executives in a corporate environment. Familiarity with marketing operations or related functions. Ability to work independently and manage multiple priorities effectively.
