General Statement of Duties

This position combines relationship-based recruitment, enrollment coordination, and student-centered support to guide prospective, new, and first-year students through the admissions and enrollment process. Rooted in cultural responsiveness and holistic student support, the Enrollment Coordinator works collaboratively across departments to identify and reduce barriers to enrollment, promote student persistence, and enhance first-year completion.

The Enrollment Coordinator supports the College's Strategic Enrollment Management (SEM) initiatives and activities associated with the American Indian College Fund's Cultivating Native Student Success (CNSS) grant. The position also assists students with enrollment-related services, including the processing and issuance of student identification (ID) cards.

The original PD emphasizes relationship-based recruitment, holistic support, first-year success, and alignment with the CNSS grant; these responsibilities remain central to the updated position.

Specific Area of Duties

Student Enrollment, Support, and Success
  • Build meaningful relationships with prospective, new, and current students through regular one-on-one interactions, outreach, and small-group activities.
  • Assist students in navigating admissions, enrollment, and other College processes and connect students with the appropriate departments and resources.
  • Provide student-centered assistance and timely follow-up to help students successfully complete enrollment-related requirements.
  • Implement holistic support strategies that address academic, financial, social, personal, and cultural factors that may affect student enrollment, persistence, and success.
  • Monitor first-time, first-year student progress and maintain regular contact with students to identify barriers and connect them with appropriate support and resources.
  • Coordinate peer mentoring programs and activities that promote student engagement, community building, and support networks.
  • Assist with the implementation of orientation and first-year experience programs that support a successful transition to college and reflect Blackfeet cultural values.
  • Create, coordinate, and/or deliver workshops and informational activities related to college readiness, study skills, time management, personal development, enrollment, and student success.
  • Connect students with appropriate campus and community resources to address barriers to enrollment, persistence, and completion.
  • Maintain professional, respectful, culturally responsive, and confidential interactions with students at all times.
Student Identification (ID) Services
  • Coordinate and process student identification (ID) cards for new and continuing students.
  • Take student ID photographs, verify student information, and print and issue student ID cards in accordance with College procedures.
  • Process replacement student ID cards as needed and provide students with information regarding applicable procedures.
  • Maintain accurate student ID records and protect confidential student information in accordance with College policies and applicable privacy requirements.
  • Maintain student ID equipment, supplies, and materials and coordinate equipment, software, or system issues with the appropriate College department.
  • Assist with establishing and maintaining efficient procedures for student ID services during registration, orientation, and other high-volume enrollment periods.
Recruitment and Outreach
  • Support College recruitment and enrollment efforts by representing Blackfeet Community College at school visits, college fairs, tribal events, community gatherings, recruitment activities, and other outreach events.
  • Provide prospective students and families with accurate information regarding BFCC academic programs, admissions processes, student services, and available campus resources.
  • Promote academic programs, enrollment opportunities, and student support services through presentations, workshops, outreach activities, and digital communications.
  • Assist with outreach and follow-up activities designed to move prospective students through the inquiry, application, admission, and enrollment process.
  • Build positive relationships with prospective students, families, schools, community organizations, and other partners.
  • Collaborate with cultural resources and other College departments to incorporate Blackfeet culture, values, knowledge, and language into student engagement and support practices when appropriate.
Progress Monitoring, Data, and Reporting
  • Utilize Strategic Enrollment Management (SEM) benchmarking processes to support the identification and tracking of key enrollment indicators.
  • Assist in monitoring progress toward institutional enrollment, retention, persistence, and completion goals.
  • Monitor and document interactions and progress involving first-time and first-year students.
  • Maintain accurate records of student contacts, outreach activities, services, referrals, and outcomes.
  • Collect and maintain data necessary to evaluate the effectiveness of enrollment and student-success strategies.
  • Assist with required reports, assessments, and documentation related to enrollment initiatives and grant-funded activities.
  • Ensure accurate and timely documentation and reporting in accordance with CNSS program requirements and institutional procedures.
  • Contribute to CNSS assessments of student recruitment, retention, persistence, and completion initiatives.
  • Maintain confidentiality and appropriately safeguard student records and personally identifiable information.
Collaboration and Strategic Enrollment Management
  • Organize, coordinate, and assist with meetings and activities of the Strategic Enrollment Management (SEM) team.
  • Assist with implementing campus-wide, cross-functional enrollment and student-success initiatives.
  • Work collaboratively with Admissions, Registrar, Financial Aid, Student Services, academic divisions, and other departments to support students throughout the enrollment process.
  • Work closely with academic departments to align student support services with advising, instructional, and student-success objectives.
  • Coordinate with internal stakeholders to align activities with SEM priorities, institutional goals, and strategic initiatives.
  • Participate in College enrollment, registration, orientation, retention, and student-success activities as assigned.
  • Engage with external partners and stakeholders to strengthen resources, outreach, recruitment, and student-support networks.
  • Maintain effective communication with College departments to ensure students receive accurate, consistent, and timely information.
Program and Grant Administration
  • Assist with the implementation of activities associated with the Cultivating Native Student Success (CNSS) grant and other assigned enrollment or student-success initiatives.

  • Track purchasing and expenditures associated with assigned grant activities in accordance with approved budgets and College procedures.
  • Assist with monitoring program budgets and maintaining documentation consistent with the CNSS grant application, approved budget, and institutional guidelines.
  • Maintain accurate program records, supporting documentation, and other information required for grant reporting and compliance.
  • Assist with the preparation of program reports, assessments, and documentation.
  • Maintain communication between BFCC and the American Indian College Fund (AICF) partner organization, as assigned, to support program implementation and grant compliance.
  • Contribute to the development and implementation of strategies designed to sustain successful student enrollment and support initiatives.
  • Follow all applicable College purchasing, financial, travel, and grant-management procedures.
  • Perform other duties consistent with the scope and responsibilities of the position as assigned.

Qualifications

· Associate degree in Business Administration, Education, Human Services, Social Work, Communications, Native American Studies, or a related field required.

· Bachelor's degree in a related field preferred.

· Two (2) years of experience working directly with students, preferably in higher education, student services, admissions, enrollment, recruitment, education, or a related setting preferred.

· Experience with program coordination, grant-funded programs, grant administration, or related administrative functions preferred.

· Experience working with Native American students, communities, Tribal Colleges and Universities, or culturally diverse populations preferred.

· Must possess and maintain a valid driver's license and meet applicable College requirements for travel.

The successful candidate must possess or demonstrate the following:

  • Knowledge of or ability to learn college admissions, enrollment, registration, recruitment, and student-service policies and procedures.
  • Knowledge and understanding of Tribal Colleges and Universities, community colleges, higher education institutions, and the unique needs of Native American students.
  • Knowledge of student-centered and culturally responsive service practices.
  • Knowledge of Strategic Enrollment Management (SEM) principles and practices or the ability to develop such knowledge.
  • Knowledge of basic grant administration, purchasing, expenditure documentation, and budget-monitoring practices.
  • Strong organizational and time-management skills with the ability to manage multiple responsibilities and deadlines.
  • Strong interpersonal and relationship-building skills with the ability to work effectively with students, families, employees, community members, and external partners.
  • Excellent customer-service skills and the ability to provide welcoming, respectful, and professional assistance.
  • Strong oral and written communication skills, including appropriate grammar, spelling, punctuation, proofreading, and professional correspondence.
  • Proficiency in or the ability to effectively use Microsoft Office, Google Workspace, DocuSign, Canva, JICS, Jenzabar, student ID systems, and other software and technology relevant to the position.
  • Ability to learn and adapt to new technology, software, databases, and student-information systems.
  • Ability to accurately enter, maintain, retrieve, and protect student and program data.
  • Ability to operate student ID equipment and standard office equipment, including multi-line telephone systems, printers, copiers, scanners, and related technology.
  • Ability to work independently with minimal supervision while maintaining accountability and meeting established deadlines.
  • Ability to work collaboratively as part of a team and across College departments.
  • Ability to present information effectively to individuals and small or large groups, both in person and virtually.
  • Ability to work effectively and respectfully with individuals from diverse backgrounds, including in stressful or high-volume situations.
  • Ability to exercise tact, discretion, sound judgment, professionalism, and cultural sensitivity.
  • Ability to handle highly confidential student, personnel, financial, and institutional information and maintain strict confidentiality.

Physical Demands

The physical demands of this position primarily involve frequent use of computers, keyboards, telephones, student ID equipment, and other standard office equipment. The position requires periods of sitting, standing, walking, bending, reaching, and performing repetitive hand and wrist movements.

The employee may be required to sit or stand for extended periods and occasionally lift or move books, supplies, equipment, recruitment materials, and other miscellaneous items.

The position may require local and out-of-state travel for recruitment, professional development, conferences, grant-related activities, community events, and convenings.

The work environment is generally an indoor office setting; however, duties may also be performed at schools, community events, recruitment fairs, campus activities, and other locations. Some evening and weekend work may be required based on recruitment, registration, orientation, and College activities.
