Marketing Administrative Assistant / Proposal Coordinator - Irvine, CA

The successful candidate will play a key role in supporting the marketing team in operations, administration, and proposals. They will assist with data entry, proofreading, email communication, and the organization of documentation, and will help prepare qualification packages including resumes, project lists, project sheets, and forms. Responsibilities Data entry, organization, and communication surrounding firm proposals Proofreading of fee proposals Contribution to qualification packages, including resumes, project sheets, project lists, forms, and org charts Updates of marketing materials Ability to multitask and stay organized in a fast‑paced environment Required Qualifications 1–3 years of marketing experience Advanced English writing, editing, and proofreading skills Proficiency in Microsoft Office Suite Strong attention to detail and organizational skills Ability to work collaboratively with technical and marketing teams Bachelor’s degree in Marketing, Business, Public Relations, Communications, Graphic Design, Journalism, or a related field Preferred Qualifications Experience with InDesign Experience with AEC proposals Ability to work independently Work Environment and Location This position offers a hybrid work environment, requiring two in‑office days per week in our Irvine, CA office.
