Administrative Assistant II
$21.99 per hourJob Summary We are seeking a highly organized and detail-oriented Staffing and Scheduling Coordinator to serve as the primary resource for our Medical Office Administration and Access Teams. In this role, you will design, coordinate, and maintain clinical staff schedules while resolving scheduling conflicts. You will ensure compliance with union contracts and organizational policies, and manage payroll and data auditing to cost-effectively meet patient demand. Key Responsibilities Staffing & Scheduling: Create and maintain daily ambulatory staff schedules across multiple departments. Balance staff availability and qualifications against patient census and matrix needs. Administrative Duties: Handle scheduling, printing, mailing, and other daily administrative tasks as assigned to support office operations. Request & Leave Management: Review, process, and approve or deny time-off, shift trades, and scheduling requests within Union contract guidelines. Accurately track leaves of absence. Payroll Processing: Calculate, code, and input timecards using the internal payroll system. Interpret contract language regarding pay practices and incentives, resolve payroll discrepancies, and process salary advances. Reporting & Auditing: Conduct timecard and schedule audits, carefully document results, and manage the recapture of funds. Track and report on attendance, labor cost distribution, and non-productive hours. HR & System Liaison: Partner with HR recruiters regarding job requirements, track union seniority and position control, and act as the primary super-user and trainer for scheduling and payroll databases. Qualifications & Skills Required: Education: High School Diploma or equivalent. Experience: Minimum of 1 year of experience handling timekeeping and timecards. Technical Skills: Proficiency in Microsoft Office 365 (specifically Excel) and overall computer skills. Core Competencies: Highly organized with excellent attention to detail. Exceptional time management abilities. Ability to work independently and manage multiple administrative priorities. Preferred: Familiarity with Epic Applications is highly preferred salary: $21.99 - $22 per hour
