Executive Assistant

Job Summary Administrative and secretarial support to executives or chairs such as heads of divisions or departments. Duties include coordination and scheduling, correspondence and presentation preparation, and travel arrangements. Requires highly proficient administrative skills. Essential Functions Perform secretarial and administrative duties for an executive or chief. Manage schedule, arrange appointments, travel, meetings, and coordinate documents, refreshments, resources and conference calls. Prepare correspondence, meeting minutes or executive summaries. Maintain files and office supplies, budget records, reconcile and verify expenses, and complete reimbursements. Use analysis, initiative and independent judgment where required. Remain knowledgeable of corporate policy. Interpret and communicate executive or board intent to other employees. Perform payroll functions for executive team. Assist other administrative/executive assistants and may assist with orientation and training of staff. Manage contacts of a sensitive, complex, and confidential nature. Complete routine tasks under minimal supervision. Qualifications Education: High School Diploma or Equivalent required; Associate’s Degree in a related field preferred. Experience: 3–5 years as an Administrative Assistant to an Executive, Chair or Senior Leader. Knowledge, Skills & Abilities: Highly proficient administrative and office applications skills. Ability to proofread and edit written documents. Ability to manage more complex phone calls and provide detailed information. Highly proficient communication skills (phone, verbal, written). Ability to handle sensitive information and situations with poise and professionalism. Strong organizational, coordination and judgment skills. Ability to prioritize effectively. Ability to problem solve and troubleshoot. Ability to analyze a situation and determine best action within guidelines. Basic math and bookkeeping knowledge. Advanced understanding of medical terminology and billing/fiscal information. Ability to demonstrate good leadership skills in a team environment, including guidance, orientation, training and assistance to other staff.
