Human Resources Coordinator

The Human Resources Coordinator plays a vital role in supporting the daily operations of the Human Resources department by ensuring accurate employee records, maintaining HR systems, coordinating onboarding activities, supporting recruiting efforts, and providing exceptional service to employees and managers. This position serves as the administrative backbone of the HR department, helping to ensure HR processes are efficient, compliant, and provide a positive employee experience. The Human Resources Coordinator will be responsible for maintaining employee records, coordinating new hire onboarding, supporting recruitment activities, assisting with HR reporting and compliance, and providing administrative support across all HR functions. This individual must be highly organized, have exceptional attention to detail, maintain strict confidentiality, and thrive in a fast-paced environment while managing multiple priorities with minimal supervision. Maintain complete and accurate employee personnel files in both electronic and physical formats across multiple platforms. Upload, organize, and retain all new hire, employment, and personnel documentation within the HRIS (UKG Ready) and electronic filing systems. Process HRIS transactions including new hires, status changes, promotions, transfers, and terminations. Prepare and distribute employment-related documents through DocuSign including offer letters, policy acknowledgements, compensation changes, and other HR documentation. Coordinate all pre-employment activities including background checks, drug screens, employment verifications, and new hire paperwork. Coordinate and facilitate new hire onboarding, orientation logistics, and first-day preparation. Prepare employee badges, welcome materials, and other onboarding resources as needed. Maintain onboarding checklists to ensure all required employment documentation is completed timely and accurately. Process employment verification requests and unemployment documentation as needed. Maintain training records, compliance documentation, employee rosters, organizational charts, and other HR records. Assist with employee recognition programs, service anniversaries, birthdays, and employee appreciation initiatives. Prepare monthly and quarterly HR reports, metrics, and workforce data. Serve as main point of contact for training, troubleshooting and questions with HRIS Provide outstanding customer service by responding to routine employee questions and directing employees to the appropriate HR team member when needed. Conduct regular 30 & 60 day stay interviews Support HR projects, acquisitions, and other departmental initiatives as assigned. Perform other duties and special projects as assigned. Act as support function and VP of Human Resources’ right hand person Education / Work Experience & Requirements Associate's degree in Human Resources, Business Administration, or related field preferred; equivalent work experience will be considered. Minimum of 3-5 years of administrative experience, preferably within Human Resources or a professional office environment. Exceptional organizational skills with a high level of attention to detail and accuracy is critical. Experience utilizing an HRIS system strongly preferred. Bonus points for experience with UKG. Proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and Teams. Ability to prioritize multiple responsibilities while meeting deadlines in a fast-paced environment. Ability to maintain strict confidentiality and exercise sound judgment when handling sensitive information. Excellent verbal and written communication skills. Strong customer service mindset with the ability to build positive working relationships across all levels of the organization. Self-motivated, dependable, and able to work independently with minimal supervision. High level of personal accountability, professionalism, and follow-through. Travel & Physical Requirements No regular travel required. Primarily desk and computer work. Occasional lifting of materials up to 25 pounds. Ability to sit, stand, and walk throughout the workday as needed.
