Sales Administrative Assistant — The Organizational Engine Behind NYC's Busiest Catering Sales Team A high-performing sales team doesn't run on charisma alone — it runs on systems, follow-through, and someone who keeps everything organized while the deals are being closed. Green Apple Catering & Events is hiring a Sales Administrative Assistant who can manage proposals, client communications, and internal coordination so our sales managers can focus on what they do best: bringing in business. Supporting a Sales Operation That Drives Millions in Annual Revenue As Sales Administrative Assistant, you'll work directly with our sales managers to prepare proposals, manage client correspondence, update CRM records, and coordinate internally with the event production and culinary teams. You're the person who makes sure nothing slips through the cracks — from a client's dietary note to a proposal deadline to a follow-up call that needs to happen today, not tomorrow. Prepare and format catering proposals, contracts, and pricing documents Manage the sales team's calendar, client meetings, and follow-up schedules Update and maintain client records in the CRM system Draft professional client communications including emails and confirmations Coordinate with the events and culinary teams on menu requests and special requirements Track proposal status and assist with pipeline reporting Handle incoming sales inquiries by phone and email, routing to the appropriate manager Qualifications That Make You Effective in This Role 1-2 years of administrative or sales support experience Strong proficiency in Microsoft Office (Excel, Word, Outlook) and Google Workspace CRM experience (any platform — we'll train you on ours) Excellent written communication and proofreading skills Ability to prioritize multiple tasks and manage competing deadlines Professional phone presence and client-facing communication skills Grow Your Career at a Company That Rewards Initiative Green Apple Catering & Events has been a fixture in New York City's corporate catering market since 2004. We're DOHMH licensed and HACCP certified, with a client list that includes Amazon, Cartier, and Marriott Hotels. The Sales Administrative Assistant role is often a launching pad — several members of our current sales and event management teams started in administrative positions and advanced as they developed industry knowledge and client relationships. You'll have a front-row seat to how a multi-million-dollar catering operation runs. Frequently Asked Questions What software and tools will I use in this role? You’ll work with Microsoft Office (primarily Excel and Word), Google Workspace, our CRM platform for client and pipeline management, and internal project management tools. Full training is provided during onboarding. Will I have direct client contact? Yes. You’ll handle incoming phone inquiries, send client emails, and occasionally join meetings with sales managers. While the sales managers lead client relationships, you’ll be a regular point of contact for logistics, confirmations, and follow-ups. How large is the sales team I’ll be supporting? You’ll support a team of sales managers who collectively manage Green Apple’s corporate, social, and institutional client pipeline. The exact team size varies, but you’ll work closely with 3-5 sales professionals on a daily basis. Is there opportunity to move into a sales manager role? Absolutely.
