Job Description
The Administrative Assistant will be assisting with all work associated with renovation & capital improvement projects. The Administrative Assistant works with various people at all levels, especially those in leadership, the property level, vendors, and contractors regarding project cost, staffing and scheduling. Prepares project status reports and works to ensure plans adhere to project specifications and serves as a point of contact for questions about invoices or receipt of payments.
The duration for this assignment will be 6 months from the start date, with potential of being full-time employment
Essential Duties
- Responsible for Filing paperwork and maintain office organization
- Sorting and distributing communications in a timely manner
- Organizing the office and assisting project team to optimize processes
- Assist in pulling permits for projects
- Assist in Sourcing contractors and obtaining bids on projects.
- Getting comparison bids from suppliers/ contractors for labor and material. Ensuring the best price and quality for the project
- Assist project team in putting together packages for owner review (putting together language, scope and pricing as directed)
- Tracking projects and providing regular reports on project status to the projects team.
- Responsible for obtaining vendor insurance information for all projects.
- Assist with other administrative tasks as needed
Experience
- Proficiency In: Excel, Word, Outlook, Adobe Acrobat.
- Ability to work a flexible schedule to meet deadlines.
- Strong problem-solving skills, basic accounting principles knowledge, documentation skills, research and resolution skills, data analysis and multi-tasking skills.
- Must have strong work ethic.
- Detail oriented, reliable self-starter.
- Possess strong organizational and time management skills.
- Ability to communicate effectively verbally and in writing.
- Ability to work independently and with a team in a fast-paced and high-volume environment with emphasis on accuracy and timeliness.
