Front Office Coordinator

Join our dynamic team at Rib Mountain Glass, a leader in the commercial glass industry for over 60 years. We are experiencing growth and a busy period, leading to the opening of this new position to provide additional support on the phones. Rib Mountain Glass is committed to customer satisfaction, quality, and innovation, offering comprehensive services including engineering and fabrication of entrance doors, storefronts, curtainwalls, vestibules, glass railings, and shower doors.

As a Front Office Coordinator, you will be a vital part of our team, managing inbound calls, gathering detailed information, and problem-solving to ensure smooth office operations and high customer satisfaction. Hours are 7:00am to 4:00pm, Monday through Friday.

We are looking for candidates with:

  • Experience in a parts store or industrial-service industry is helpful
  • Ability to answer high volume inbound residential and service calls
  • Strong typing skills and multitasking abilities
  • Excellent communication skills
  • Good problem-solving skills and attention to detail

Position Summary

Be a friendly, organized, and professional point of contact at Rib Mountain Glass, ensuring all clients, visitors, and vendors receive courteous assistance. You will handle inquiries, maintain client records, facilitate communication with the installation team, process payments, and ensure an inviting office environment.

Essential Duties and Responsibilities

  • Greet and assist clients, visitors, and vendors professionally
  • Answer, screen, and respond to phone inquiries
  • Coordinate with installation crews and team members for smooth project flow
  • Update client and project information in the database
  • Follow up with clients for satisfaction and resolve issues
  • Process all payments
  • Manage incoming/outgoing mail and maintain office organization

Minimum Qualifications

  • Excellent verbal and written communication
  • Strong organizational, multitasking, and problem-solving skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and office equipment
  • Discretion with confidential information
  • Positive attitude and professional demeanor

Physical Demands and Work Environment

This role is based in a fast-paced office setting, requiring sitting or standing for long periods. Occasional lifting of windows, supplies, or files may be necessary.
