UTS - Temporary Conference Coordinator at UNC Chapel Hill

Conference Coordinator – Overview Supports the planning, coordination, and execution of conferences, meetings, and special events. Works onsite 30–40 hours per week as a key liaison for clients and internal teams, ensuring exceptional customer service and seamless event operations from initial planning through completion. Responsibilities Develop program proposals and contracts. Coordinate event logistics and support day‑of operations. Serve as point of contact for clients on the day of the event. Communicate day‑of requests to the Conference Services team and track all changes. Monitor conference activities on‑site to ensure accurate execution. Ensure program deadlines related to planning, catering, technology, and setup are met. Assist with opening and closing procedures of the conference center. Assess and advise on venue availability and layouts based on client needs. Solicit client feedback and continuously improve service delivery. Other duties as assigned. Requirements and Qualifications High school diploma or equivalent; associate’s or bachelor’s degree in Hospitality Management, Event Management, Business Administration, Communications, or related field preferred. Two years of experience coordinating conferences, meetings, events, or customer service operations. Strong organizational and project coordination skills with exceptional attention to detail. Excellent customer service and interpersonal skills. Strong written and verbal communication skills. Ability to manage multiple events and competing priorities in a fast‑paced environment. Experience preparing proposals, contracts, event documentation, and maintaining accurate records. Experience working in event venues and with reservation systems.
