Project Coordinator

Project Coordinator Position Summary We are seeking a highly organized and detail-oriented Project Coordinator to support project teams throughout the entire project lifecycle, from pre-construction and planning through project completion and closeout. This role is responsible for coordinating project activities, maintaining accurate documentation, facilitating communication between field and office teams, and helping ensure projects are delivered on time, within scope, and to quality standards. Key Responsibilities Project Planning & Pre-Construction Assist with project setup within project management systems. Review project scope, drawings, schedules, and supporting documentation with project managers. Coordinate project schedules, labor resources, materials, equipment, subcontractors, and vendors. Ensure permits, inspections, utility coordination, and project logistics are completed prior to project mobilization. Support pre-construction planning activities to ensure projects are prepared for execution. Project Coordination & Execution Monitor project progress and maintain accurate project records throughout execution. Coordinate communication between project managers, field personnel, subcontractors, suppliers, and other stakeholders. Assist in resolving scheduling conflicts, material shortages, and project-related issues. Track project milestones, production quantities, and daily activities. Maintain organized project documentation, including daily reports, photographs, field notes, schedules, and project files. Ensure project information is updated accurately within project management systems. Project Closeout Coordinate completion of punch list items and outstanding project tasks. Assist with project closeout documentation and ensure required records are complete and organized. Support final quantity verification and project billing activities. Coordinate project closeout meetings, final walkthroughs, and client communications. Confirm project documentation is complete before final project closeout. Qualifications Required Strong organizational and time management skills. Excellent written and verbal communication skills. Ability to manage multiple projects and competing priorities simultaneously. Strong problem-solving skills with the ability to adapt in a fast-paced environment. High attention to detail and commitment to maintaining accurate documentation. Ability to work collaboratively with both office and field teams. Preferred Experience supporting construction, engineering, infrastructure, manufacturing, or project-based operations. Familiarity with project scheduling, resource coordination, and project documentation. Experience reviewing project plans, drawings, or site layouts. Proficiency in Microsoft Excel and project management or scheduling software. Experience coordinating subcontractors, vendors, materials, or field operations.
