Staff Accountant

We are seeking a detail oriented, proactive Staff Accountant with a strong accounts payable focus to keep vendor payments accurate, timely, and secure. You'll own the full AP cycle, from invoice intake and vendor onboarding to reconciliations and year end 1099s. You'll also protect the company against payment fraud and work closely with internal business partners to keep approvals moving. This role works daily with our U.S. based accounting team and has a direct impact on vendor relationships, cash accuracy, and audit readiness.

What You'll Do

Invoice Processing & Inbox Management: Monitor the accounting inbox every day for vendor invoices, statements, and inquiries, and respond promptly and professionally. Process invoices in SAP Concur, confirm that every forwarded invoice arrives in Concur, and check vendor, amount, and payment terms for accuracy.

Approval Flow & Payment Timeliness: Track invoices through Concur's automated approval flow and follow up with internal business partners so invoices are approved and paid on time.

Systems & Integrations: Monitor the NetSuite and Concur integrations (Wipfli InvoiceConnect and Wipfli ExpenseConnect), and troubleshoot and resolve sync errors.

Vendor Onboarding & Fraud Prevention: Onboard new vendors, making sure vendor forms and W9s are complete. Confirm banking details and any address or banking changes through recorded video calls. Review new vendor documents such as invoices, contracts, and quotes for existing liabilities and flag them to the Accounting Manager. Stay alert to phishing attempts.

Purchasing & Audit Support: Help with purchase request and purchase order processing. Gather supporting documents for the annual audit and quarterly reviews.

Reconciliations & Reporting: Perform monthly account reconciliations, prepare journal entries, and prepare annual 1099s. Raise any issues with the accounting team early.

What You'll Bring

Proven staff accountant experience with a strong accounts payable background

Hands on NetSuite experience (required)

Experience with SAP Concur, or the ability to learn it quickly

Working knowledge of vendor onboarding, 1099 preparation, account reconciliations, and journal entries

Experience in the life sciences industry is a plus

Strong accuracy and attention to detail, with a healthy awareness of payment fraud and phishing risks

Clear, articulate written and verbal English communication
