McCorvey Companies is a Family-owned Manufacturing & Construction company seeking a bilingual Administrative Assistant to join our team! Immediate availability and room for growth. McCorvey Companies primarily works on large projects, including hospitals, research labs, sports stadiums, schools, and other vertical markets.

The Administrative Assistant serves as the first point of contact for customers, vendors, subcontractors, and employees. This position provides administrative support to the office, project management, estimating, and service departments while maintaining a professional and organized front office.

Job Responsibilities:

  • Greet visitors, clients, vendors, and subcontractors in a professional and courteous manner
  • Answer and direct incoming multi-line phone calls and respond to general inquiries
  • Manage incoming and outgoing mail, deliveries, and courier services
  • Maintain an organized reception area, conference rooms, and common office spaces
  • Provide administrative support to project managers, estimators, and field supervisors
  • Prepare, scan, file, and distribute project documentation, contracts, submittals, RFIs, permits, and closeout documents
  • Assist with scheduling meetings, training sessions, and conference room reservations
  • Create and maintain electronic and hard-copy filing systems
  • Order and maintain office supplies, PPE, and general office inventory
  • Assist with processing invoices, purchase orders, expense reports, and time sheets
  • Coordinate employee onboarding paperwork
  • Monitor office equipment and coordinate maintenance or repairs
  • Ensure confidential company and employee information is handled appropriately
  • Perform other administrative duties as assigned

Qualifications:

  • Bilingual in English & Spanish is a must
  • Proven admin or assistant experience
  • Knowledge of office management systems
  • Excellent written and verbal communication skills
  • Strong organizational and planning kills
  • Proficiency in MS Office
  • High school diploma or equivalent
