About This Role

The position will assist the HR Director in daily human resource initiatives and also responsible for recruitment, evaluation and revision of job descriptions, collaboration on hiring needs, knowledge of current employment laws and legislation, and new hire orientation. This position works with the Human Resources (HR) Manager and department heads to address needs.

Other daily responsibilities include conducting phone screens, reviewing resumes, scheduling interviews, preparing candidates for interviews, collaborating with hiring managers, and extending offers.

Core Responsibilities

• Updates and maintains employee personnel files in a timely manner, ensures all necessary documents are included, and maintains the confidentiality of these files.
• Coordinates special employee functions with the HR Manager, including annual outings, employee recognition activities, and other special events as requested.
• Manages the initial screening process for all assigned positions, including internships; posts positions, reviews resumes, conducts interviews, and coordinates the recruitment cycle.
• Maintains knowledge of various sourcing and recruiting methods appropriate for each open position.
• Works closely with managers to gain a comprehensive understanding of the hiring needs for each position.
• Collaborates regularly with HR leadership to design, refine, and implement innovative strategies.
• Engages daily with job boards, social networks, and recruiting platforms to identify qualified candidates.
• Manages the employee recruitment process, including interviewing applicants, testing applicants as needed, verifying references, and ordering background checks.
• Prepares new hire paperwork for processing.
• Processes advertising invoices for payment.
• Maintains and updates applicant tracking records.
• Responsible for tracking and responding to recruitment-related correspondence.
• Conducts orientation for new employees and coordinates quarterly onboarding.
• Performs research as requested by the HR Manager.
• Screens resumes and prospects, assesses qualifications, conducts interviews, and manages candidates throughout the interview process, including preparing candidates for interviews and assisting with final offer negotiations.
• Maintains a database of candidate records, including active and passive prospects and other candidate relationships.

Other Responsibilities

• Answers the telephone in a courteous and tactful manner, schedules appointments, and provides accurate and complete information regarding office operations and services.
• Serves as backup to the HR Manager in composing and posting employee-related bulletins as requested.
• Serves as backup liaison for the HR Manager in working with temporary agencies and handling access or security cards.
• Serves as a member of special event committees as assigned.
• Provides backup front desk coverage as needed. Responsibilities may include greeting and assisting clients, visitors, and other guests; providing direction and information; answering questions; and directing calls appropriately.
• Performs other related work as requested and required.

Education and Experience

• HR office experience is preferred. An equivalent combination of training and experience that provides the required knowledge, skills, and abilities may also be considered.

Knowledge, Skills, and Abilities

• Knowledge of English grammar and punctuation.
• Ability to maintain strict confidentiality regarding sensitive work and personnel matters.
• Ability to learn the broad scope of department operations and services and serve as an effective information resource.
• Ability to maintain databases.
• Knowledge of acceptable practices and techniques involved in report preparation, including gathering, compiling, and assembling information into final documents, records, reports, and minutes.
• Ability to develop and maintain positive working and professional relationships with staff at all levels.
• Knowledge of, or ability to learn, the principles and practices of employee recruitment, screening, testing, and selection.
• Knowledge of interviewing skills and applicable laws governing interviewing questions and practices.
• Ability to assist in the planning and coordination of special programs and events.
• Ability to apply discretion and tact while handling sensitive personnel matters.
• Ability to uphold established organizational policies and procedures.
• Knowledge of ADP, Microsoft Word, Excel, and Adobe Acrobat Professional. Familiarity with Microsoft Access, Publisher, and PowerPoint is desirable.
