Position Summary

Tri Scapes has partnered with TotalPML in Sanford, FL and we're looking to add an Office Manager to help our continually developing team. The Office Manager plays a critical role in supporting daily business administrative functions, fleet and logistics management, software implementation, and internal staff support. This role requires a proactive problem-solver who can manage weekly administrative cycles, assist with onboarding processes, coordinate travel, and teach team members new system procedures.

Key Responsibilities

1. Administrative & Financial Support

• Check mail daily and process/deposit customer payment checks.
• Collect and scan receipts from field and department managers.
• Handle incoming calls and emails, routing inquiries to the appropriate personnel.
• Order office supplies and required operational materials.
• Correspond with potential customers, sending bids, and proposals as needed.

2. Onboarding & Systems Implementation

• Assist with onboarding new employees, ensuring all required hiring documentation is collected and filed.
• Help onboard new customers and set up active contracts.
• Assist with data configuration and serve as a key resource in upcoming enterprise software migrations (e.g., Aspire).
• Assist managers and team members in new systems, software, and operational procedures.

3. Fleet & Travel Logistics

• Register new vehicles and equipment in tracking master files and monitor fleet via Samsara vehicle trackers.
• Coordinate DMV-related paperwork, vehicle registrations, and compliance items.
• Schedule and book hotel or Airbnb accommodations for out-of-town crews.

4. Payroll & Employee Information

• Submission of approved employee payroll and per diem reimbursements.
• Submit all employee termination, and change forms as needed.

Qualifications & Skills

• Strong organizational abilities with independent, proactive troubleshooting skills.
• Experience with payroll processing software, fleet tracking (Samsara experience preferred), or field service management platforms (Aspire experience preferred).
• Clear communication skills for instruction, phone routing, and team training.
• Proficiency with standard office productivity software and document scanning tools.
