HOURLY SALARY: $19.99 - $21.63

FLSA STATUS: Non-Exempt, Part-Time (25 hours per week)

GENERAL SUMMARY:

The Human Resources Clerk provides clerical and administrative support to the Human Resources Department, including maintaining personnel records, processing documents, scheduling interviews and appointments, answering phones, and assisting employees and applicants with general inquiries. The position requires accuracy, organization, professionalism, and confidentiality.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Responsibilities include, but are not limited to:

1. Provides general clerical and administrative support to the Human Resources Department.
2. Answers telephone calls, responds to routine inquiries, relays messages, and directs employees, applicants, and visitors to the appropriate HR staff member.
3. Provides reception coverage and assists walk-in employees, applicants, and visitors.
4. Assists with employment applications, recruitment paperwork, interview scheduling, reference checks, and background check processes.
5. Assists with scheduling meetings, orientations, appointments, and preparing related materials or conference room arrangements.
6. Assists with new employee processing, onboarding documentation, personnel file preparation, and employee separation documentation.
7. Organizes, files, and maintains applicant, recruitment, personnel, and other HR records in accordance with established procedures.
8. Enters, updates, and maintains routine employee information in the HRIS and other HR databases.
9. Assists with maintaining records related to benefits, compensation, and other personnel matters.
10. Prepares routine correspondence, forms, reports, spreadsheets, and other HR-related documents.
11. Copies, scans, faxes, emails, and distributes documents as needed.
12. Assists with gathering and organizing information for HR reports, audits, surveys, and special projects.
13. Maintains Human Resources calendars, schedules, and appointment information.
14. Maintains an organized and professional HR office environment and protects the confidentiality of employee, applicant, and organizational information.
15. Follows established Human Resources policies, procedures, filing, and recordkeeping practices.
16. Completes and processes Verification of Employment (VOE) requests and other Human Resources documents or forms requiring completion by the HR Department.
17. Performs other related clerical duties as assigned.

QUALIFICATIONS:

• High School Diploma or GED required.
• One (1) year of clerical, administrative, office, customer service, or related experience preferred; Human Resources experience is a plus.
• Bilingual in English and Spanish required.
• Strong organizational skills, attention to detail, and ability to manage multiple priorities.
• Strong verbal, written, interpersonal, and customer service skills.
• Ability to maintain confidentiality and exercise discretion with sensitive information.
• Proficiency in Microsoft Office Suite and ability to learn HRIS and other computer-based systems.
• Ability to accurately maintain records, follow established procedures, and meet deadlines.
• Ability to work independently and collaboratively in a fast-paced environment.
• Ability to represent MAOF in a professional and positive manner.
• Ability to work Monday through Friday, with occasional evenings or weekends as needed.
• Must possess a valid California Driver?s License, reliable transportation, and current automobile insurance.

While performing the duties of this job, the employee is regularly required to sit, use hands, communicate, and perform general office tasks. The employee is occasionally required to stand, walk, reach, and lift or move up to twenty-five (25) pounds. The position requires sufficient vision to read documents and use a computer. The employee may also be required to drive and travel as needed.

WORK ENVIRONMENT:

The work environment is primarily an office setting and includes regular interaction with employees, applicants, visitors, and Human Resources staff. The employee is expected to maintain professionalism and confidentiality at all times.
