Overview Selective Insurance Company of America is looking for a Law Office Administrator for our Staff Counsel Program supporting General Liability, Transportation and Subrogation lines of business. This is a hybrid role, and the ideal candidate will be located in the Northeastern United States within Selective's footprint. This role requires a leader who is equally comfortable managing people, reviewing operational details, and driving measurable improvements. The individual in this position is responsible for managing the day-to-day operational execution of law offices and providing administrative support to Managing Attorneys to ensure efficient, accurate, and compliant legal operations. This role serves as the direct report manager for legal assistants, paralegals, and processing support staff. All responsibilities must be performed in compliance with applicable legal and regulatory requirements. Responsibilities Provide direct oversight to legal support staff through daily support, real-time feedback, and ongoing review of core operational processes, including intake, calendaring, document routing, filings, discovery support, and matter setup. Review substantive legal support work to ensure first-time quality, accuracy, and productivity; identify knowledge gaps, rework trends, and training needs, and implement corrective action as appropriate. Ensure accurate and complete matter setup and maintenance in the case management system, including conflict checks, coding, calendaring, task creation, and documentation; correct deficiencies promptly and reinforce standards across offices. Collaborate with the Legal Operations Manager and Managing Attorneys to identify workflow inefficiencies, propose solutions, and execute process improvements with measurable outcomes. Develop and implement onboarding and training plans for legal support staff, and partner with Managing Attorneys on attorney onboarding, with an emphasis on technology, systems, and operational expectations. Participate in hiring activities, including applicant evaluation, interviewing, onboarding, training, and mentoring of new staff members. Attend state-specific and program-wide meetings to identify risks or operational gaps, propose solutions, and ensure follow-up actions are documented and completed. Standardize administrative processes to ensure consistent documentation, calendaring accuracy, task workflows, and file maintenance. Lead performance conversations, support professional development, and foster a culture of accountability; monitor workload distribution and address capacity concerns in partnership with HR as needed. Maintain documentation related to performance management, development planning, and succession planning. Champion the case management system by leveraging reports, dashboards, audits, and quality checks to manage performance and compliance. Create and maintain office forms and track Federal and State Court Rules to ensure required forms and deadlines are current in all systems. Supervise and maintain office systems, ensuring staff proficiency in MS Office, legal matter management systems, court platforms, AI-enabled tools, and vendor applications. Perform additional duties as assigned by the Legal Operations Manager and/or managing Regional Director, Managing Attorneys, including facilities coordination, vendor management, expense support, IT troubleshooting, and team building initiatives. Support and reinforce hybrid work expectations, ensuring consistent adherence to in-office and remote work requirements. Qualifications Knowledge and Requirements Demonstrated ability to lead change, improve processes, and champion technology and data discipline in a legal environment. A proven people leader skilled in coaching, accountability, collaboration, and continuous improvement. Proficiency in Microsoft Word, Outlook, and Excel required; legal case management system proficiency required. Strong customer service orientation with excellent written and verbal communication skills. Strong understanding of legal operations fundamentals, including calendaring, court rules, documentation standards, workflow management, and quality control. Education and Experience High school diploma or equivalent preferred. College degree or business school desired. At least 15 years legal secretary or paralegal experience in the jurisdiction required. Minimum of 5 years supervisory/management experience required. The actual base salary is based on geographic location, and the range is representative of salaries for this role throughout Selective's footprint. Additional considerations include relevant education, qualifications, experience, skills, performance, and business needs. Pay Range USD $83,000.00 - USD $108,000.00 /Yr.
