Description: Position Summary

We are seeking a reliable, organized, and detailed-oriented Administrative & Accounting Assistant to join our team. In this dual-function role, you will serve as the face of our front office while providing key entry-level support to our accounting functions.

The ideal candidate possesses strong customer service skills, clear communication, comfort with numbers, and basic office computer proficiency. No extensive accounting experience is required—we are willing to train the right candidate!

Front Desk & Administrative Support

• Welcome visitors, clients, and vendors warmly as the first point of contact.
• Answer incoming calls, handle general inquiries, and route phone calls appropriately.
• Sort and distribute daily mail, deliveries, and outgoing packages.
• Maintain office supply inventory and keep common areas tidy and organized.
• Provide light clerical support, such as filing, scanning, scheduling, and drafting basic correspondence.

Light Accounting Support

• Assist with basic Accounts Receivable tasks
• Enter vendor bills, receipts, and invoices into financial software (e.g., JobCost)
• Organize and file expense receipts, helping prepare monthly expense reports.
• Follow up on unpaid vendor invoices via phone or email in a courteous manner.

• Education: High school diploma required; Associate degree or business coursework is a plus.
• Experience: 0–2 years of experience in front desk, customer service, or office setting (entry-level applicants welcome).
• Software: Familiarity with MS Office (Word, Excel, Outlook). Prior experience with accounting software like JobCost is a plus, but not required.
• Traits: Strong attention to detail, trustworthy with confidential data, and excellent communication skills.
